The Naval Undersea Warfare Center Division, Newport (NUWCDIVNPT) is a naval research activity operating under the direction of the Commander, Naval Sea Systems Command (NAVSEA). The Corporate Operations Department (Code 10), Code 00, TD and Naval Undersea Warfare Center (NUWC) Headquarters (HQ) are an integral part of NUWCDIVNPT, responsible for providing timely and cost efficient business and operational services to the overall Division. These services include Human Resources, Infrastructure, Corporate Communications, Activity Chief Information Officer (ACIO)/Information Technology, Security, and Corporate Business Office functions. The Corporate Operations Department provides these responsive and affordable services to effectively support a workforce of approximately 3,000 government employees. The Corporate Operations Department provides administrative and technical services to all of NUWCDIVNPT including NUWC HQ in the areas of data gathering and analysis; technical writing; preparation of graphic material; data entry; database maintenance and administration; and software verification maintenance. The department also provides administrative research, analysis, and support services that include researching solutions; maintaining, reviewing and assessing compliance with governing guidance; and documenting, preparing, organizing and distributing all forms of communication.


Reporting to the Director of New England Programs, the Administrative Assistant will support NUWCDIVNPT OCA department with data entry, calendar management, room reservations, answering phones, and other office management tasks on the Code 10 Corporate Operations Contract. This position is located in Newport, RI.
  • Provide timekeeping and ERP support in the following areas
  • Update acronym list.
  • Make changes to times, on an as needed basis.
  • Update based on TS/TW, leave, travel and 80-hour schedules.
  • Performing filing functions
  • Maintain a (multiweek) muster for OCA with provided templates.
  • DISS/JPASS - Submit clearance information for travelers.
  • Keep meeting minutes as required.
  • Initiate feedback requests as required.
  • Create Travel Orders.
  • Review reports to ensure accurate basic grammar/spelling.
  • Using the previous report as a template, collate all entries into a single PPT file.
  • Other duties as assigned.
  • Support DEMO paperwork and correspondence as required.
  • Post final report (PDF version, after OCA submission) to OCA webpage on Newportal.
  • Field Team Bi-weekly Report in the following areas
  • Email OCA for submission weekly on Thursdays.
  • Review time inputs for correctness.
  • Provide muster to OCA on weekly basis.
  • Query field team to submit their biweekly report (one PPT slide).
  • Create vouchers.
  • Check that all leave/OU requests have been submitted. Email individuals who haven't requested but entered in ERP time.
  • Provide OCA Travel support, to include DTS and SATO Background checks in the following areas
  • Bid and proposal support if requested.


Required Qualifications


  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.
  • Strong interpersonal skills and time management skills.
  • Experience with required software such as Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat.
  • HS diploma required.
  • An active secret clearance is required to be considered for this position.
  • At least one (1) or more years of experience providing administrative support is required.
