We are seeking a dynamic, high energy, organized Administrative Assistant to the Chair of Obstetrics and Gynecology. This role includes a wide range of high level, confidential administrative support and serves as the first point of contact for the Chair. The manager performs a variety of specialized and complex administrative and executive secretarial duties which frequently involves liaison with the medical staff, Nursing and Administrative staff and leadership, Senior executives and members of the Board of Directors, Consultants and the community.

You will be responsible for

  • Coordinating every aspect of travel with local, regional, national, and international travel arrangements.
  • Maintaining the long- and near-term calendar, associated communications & documents, and daily activities
  • Working independently in a fast-paced environment while managing the details of highly confidential information critical to the efficient function of the organization.
  • Managing all calendar requests, ensuring appointments are aligned with strategic priorities and receiving all materials needed
  • Managing multiple and competing priorities and deadlines, screening and identifying priorities from internal and external sources. Assuring the timeliness and quality of written and verbal communications including presentations.
  • Being the face of the Women’s Health Institute and Department of OBGYN to the wider community and must engender the values of the organization - accountability, diversity, respect, integrity, teamwork and compassion.
  • Providing executive administrative support to the Chair.
  • Oversee the other administrative staff in the department maintaining schedules and office and phone coverage.
  • Coordinating administrative and operational activities to ensure timely flow of information to and from the executives and medical offices.
  • Assisting the other Physician Leadership in the department as well as the Assistant Vice President of the service line.
  • Hiring, training, overseeing performance evaluations and disciplinary actions
  • Communicating regularly with internal and external stakeholders.
  • Organizing/scheduling Board and key committee meetings & ensuring the logistical requirements are accurately managed.
  • Serving as the principal administrative contact to the executive, administrative, nursing and medical staff.
  • Organizing smooth, efficient office workflow and perform appropriate department specific responsibilities related to personnel, budget, and other areas of operations (time/attendance tracking; coordination of dietary arrangements, notary public services).

We require:

  • Academic Medical Center experience preferred.
  • Healthcare experience and/or Executive Assistant Certification is a plus.
  • Superior multitasking organization, interpersonal and proven verbal, and written communication skills.
  • Proficiency in MS Office Suite, Internet and comprehensive Email client functionality.
  • Experience developing policies and procedures, database administration, and report writing is necessary
  • Executive Assistant Certification in conjunction with some matriculated college credits may be considered in lieu of Bachelor’s degree.
  • Bachelor’s Degree required.
  • Minimum of 3-5 years of work experience in related field with 3 years’ experience supporting an executive leader.
  • Critical thinking skills & confidentiality are essential.
