Job Summary:

The Administrative Assistant performs clerical and administrative support such as answering phones, copying, scanning, filing, opening, and distributing mail, processing approvals, ordering supplies, maintaining records, and overall organization for the Executive Office. The work performed by this position is typically sensitive and confidential in nature.

Primary Duties and Responsibilities:

  • Assists with all aspects of event planning.
  • Performs special projects and other duties as assigned.
  • Prints and distributes Daily Census Report, ISAP Report, and other pertinent documents.
  • Places lunch orders and sets up lunch for Executive Chairman and CEO.
  • Maintains inventory and orders office supplies as needed.
  • Provides general administrative and back-up support directly to the Office Manager and Executive Assistant and sometimes directly for the Executive Chairman and/or the CEO.
  • Creates files, folders, labels, and binders as needed.
  • Uploads and codes receipts in CONCUR.
  • Must be able to keep confidentiality in dealing with highly confidential and sensitive documents and matters.
  • The Administrative Assistant answers phones, responds to general inquiries, and takes concise and detailed messages.
  • Scans, emails and files approval documents as needed.
  • Opens and distributes incoming departmental mail and creates mailing labels for overnight and priority shipments.
  • Creates Outlook meeting invites and monitors meeting attendance.
  • Handles daily office set up of the Executive Chairman’s and CEO’s offices and conference/board rooms.


Minimum Requirements:

  • Must be able to work independently or in a group setting.
  • Must be able to communicate with employees, management, clients, and the public.
  • Minimum of two (2) years’ experience in a responsible administrative position or related field. Appropriate accreditation and/or certification in related field may supplement work experience requirement.
  • Must be able to compose a variety of correspondence such as memorandums, letters, agendas, summaries, etc. in a clear and concise manner, and proofread the work of supported staff, suggesting changes when necessary.
  • Must have working knowledge of software applications used by the supported group. This typically includes using word processing, spreadsheet, graphics, charts, and database software applications, primarily Microsoft Office Suite including Excel and PowerPoint.
  • High school diploma or equivalent certification required.
  • Must be able to prioritize and complete assignments accurately within the given deadlines, and plan accordingly when deadlines of current projects change.
