Job Description

The Administrative Assistant provides direct administrative services to the Territorial Social Ministries Secretary, coordinates graphics and publishing activities of the department, provides support services for committees and conferences as assigned, and is responsible for departmental administrative functions. As a valued and experienced team member, the Administrative Assistant provides technical and professional program support in various areas of the Social Ministries Department. The Administrative Assistant will establish goals for each year, in consultation with the Assistant Territorial Social Ministries Director, for presentation to the Territorial Social Ministries Secretary.


Administrative Functions


The Administrative Assistant assumes responsibility for departmental administrative functions as assigned


  • Keeps departmental calendar up-to-date to coordinate staff travel schedules, meetings and appointments.
  • Provides a variety of secretarial services to the department, including but not limited to, forwarding correspondence to the field for action or information.
  • Orients new clerical staff regarding departmental procedures.
  • Manages and coordinates the use of the Social Ministries Conference room.
  • Maintains Department informational lists, such as current Divisional Social Service Directors, POH Regional Coordinators, etc. In addition, compiles vacation schedules and department staff roster information.
  • Assists in making travel arrangements for the Territorial Social Ministries Secretary, as requested.
  • Prepares department staff areas, during staff changes, for incoming/new staff members.
  • Answers and directs phone calls as necessary.
  • Processes mail in-coming/outgoing and email in absence of assigned staff.


Department Finance/Accounting


  • Work with the Assistant to the Social Ministries Secretary to support budgetary goals.
  • Processes receipts for Territorial Social Ministries Secretary through SmartData.
  • Process reimbursements from Trust revenue, in accordance with project parameters.
  • Processes invoices, reimbursements/travel expenditures, checks and manage record/filing systems for the Territorial Social Ministries Department


Program Support


  • Grades the initial Bible study lesson.
  • Returns graded courses to students.
  • Responsible for managing National reports, including compiling, reviewing and follow up with Territorial and/or Divisional staff to ensure timely responses and deadlines.
  • Manges calls from the Social Ministries 800# regarding Missing Persons and Booth Records.
  • Processes requests for Bible study.
  • Provide Bible Correspondence intake support to students, that include
  • Processes requests for assistance received from the Bible Correspondence Program, War Cry and other Salvation Army publications.
  • Enrolls students into the program.
  • Fills requests for prescription assistance and other corporate partner services.
  • Provides students series of study courses and material (i.e. Bible).


Project Development


  • Assists in compiling reports including statistics, evaluation, and consultation reports.
  • Assists in the preparation for workshops and training sessions including coordination of copy work and production, assembly and shipping of materials, and meeting coordination.
  • Assists in the development and completion of special projects.


Committee and Conference Support Services


The Administrative Assistant provides support services for committees and conferences as follows


  • Serves as secretary to committee meetings and staff meetings as assigned.
  • Serves as territorial registrar for the National Social Services Conferences.
  • Serves as a member of the conference on site support staff for the Territorial Social Ministries Conferences.


Additional Responsibilities


The Administrative Assistant accepts other duties as assigned by the Territorial Social Ministries Secretary and/or Assistant Territorial Social Ministries Director.


  • 1 -3 years of related experience
  • Strong organizational skills
  • Ability to prioritize tasks and work well in a fast-paced environment.
  • One year of college or technical school
  • Solid knowledge of and comfortable with CommunityServices or similar databases. Must have a working knowledge of CommunityServices (client database management system). Training will be provided
  • Expertise in Microsoft Office Products and most notably Word and Excel, Windows XP
  • Good typing skills
