The Employee Services team is looking for an Administrative Assistant to support members of the Leadership Team. This individual must demonstrate an elevated level of professionalism, deep experience managing confidential information and maturity for discretion. If you are detail oriented, results driven, exceptionally organized, and enjoy serving others in making their time more productive, positive, and meaningful, then this is the position for you. Qualified candidates must have excellent verbal and written communication skills, demonstrated problem-solving and time management skills. Additionally, the successful candidate must be able to operate independently, efficiently, professionally, and respectfully within all levels in all situations. This position reports to the Employee Services Manager.
Responsibilities
- Maintain discretion and confidentiality of the Leadership Team
- Prepare correspondence, reports, and presentation materials.
- Works directly with Chief of Staff and other Executive Assistants
- Coordinate offsite meeting coordination including venues and meals.
- Project coordination and assistance on special projects
- Take thorough notes, track tasks, and set appointments for high level meetings and presentations.
- Provide high level executive administrative support.
- Establish and maintain the trust of the Leadership Team
- Proactively maintain calendars and manage the matrix of meetings for members of the Leadership Team. Must ensure accurate scheduling and prioritization.
- Documentation maintenance and workback calendar creation
- Organize domestic and international travel including detailed itineraries, coordination, agendas, and submission of expense reports in a timely manner.
Qualifications
- Proficient in Microsoft Office suite
- Ability to multitask
- Bachelor's degree or equivalent experience
- Strong interpersonal, customer service and communication skills
