Position Summary
Columbia University's Department of Microbiology & Immunology is seeking a highly motivated full-time Administrative Assistant to join the Fidock Lab with a primary appointment in the Department of Microbiology & Immunology and the Center for Malaria Therapeutics and Antimicrobial Resistance housed in the Division of Infectious Diseases in the Department of Medicine. The incumbent will perform a variety of administrative tasks split between duties for the Center and for the Fidock Lab.
Responsibilities
The Administrative Assistant will work directly with Dr. Fidock, the Center Director, and will be assigned tasks under the direct supervision of the Director. Responsibilities include:
- Performs other related administrative duties as assigned.
- Help coordinate and schedule meetings on PI's calendar.
- Assist with awarded grants including progress reports and project coordination and management.
- Assist with onboarding new members of lab as needed.
- Assist with travel arrangementsa as needed.
- Liaise with external and internal contacts including faculty, staff, students, visitors and administators.
- Process reimbursements of travel expenses for Dr. Fidock in a timely manner, as well as for other members and affiliates of the Center as needed.
- Logistically administer workshops, symposium, seminars and invited speakers as needed, including assisting with event planning logistics.
- Assist Center faculty with preparing manuscripts for initial submission, revision, and publication.
- Help coordinate faculty interactions with external collaborators, including working on Memorandum of Understanding (MOU) and MTA documents, data sharing agreements, concept notes, and meetings plus their minutes.
- Assist faculty affiliated with the Center with preparation of grants, including scientific editing, working on figures and tables, and putting together ancillary documents such as biosketches, budgets, and justifications. This includes working with other administrators.
- Assist researchers with repository and sample management including for cryopreserved parasites, plasmids, DNA sequence files, and oligonucleotide primers.
- Design a website for the Center for Malaria Therapeutics and Antimicrobial Resistance that includes a listing of faculty and affiliated members and links to their web pages, plus news and links to relevant sites. Actively maintain this website. Also assist with keeping websites up to date for affiliated faculty.
Minimum Qualifications
- Must have good working knowledge and functional use of Microsoft Office (Outlook, Word, and Excel).
- Bachelor’s degree or equivalent with coursework in life sciences, including biology and chemistry.
- Experience with web design is preferred.
- Evidence of writing skills and competency in Math, Science and English is important.
Preferred Qualifications
- Experience with Microsoft Office and website design.
- Working knowledge of French, while not essential, is an advantage given our work with French-speaking individuals working on malaria.
- Bachelor’s degree preferred. Evidence of administrative experience is preferred.
