ADMINISTRATIVE ASSISTANT II

Lead Poisoning Prevention program

This position is open to current BIDDERS from AFSCME AND the PUBLIC including current city employees in other unions or non-union positions. Role Summary
Under the direction of the Project Coordinator, this position will provide administrative and clerical support to the HUD, Bond and Cook County Lead Abatement Program.
Essential Duties
  • Assists with preparing for meetings and program audits.
  • Explains grant program to client when Project Coordinator is unavailable (walk-in and appointment).
  • Contacts grant clients to schedule home trainings/inspections.
  • Enters data in Microsoft Excel and/or Access databases.
  • Works with delegate agency to keep track of payment vouchers that have been submitted for payment.
  • Copies and files lead abatement applications and supporting documents.
  • Searches for property titles via Cook County Assessor’s database.
  • Prepares and files purchase orders, invoices, and contract reimbursements.
  • Delivers original client application to delegate agency on a weekly basis.
Additional Duties May Be Required For This Position.
Locations: 2133 West Lexington
Days: Monday - Friday
Hours: 8:30AM – 4:30PM

Qualifications
MINIMUM QUALIFICATIONS
Experience
  • Two years of progressively responsible administrative or secretarial experience, or an equivalent combination of training and experience.
Other Knowledge, Skills, Attributes, And Abilities
  • Previous customer service experience
  • Previous work experience in positions involving records management, personnel procedures or financial record keeping
  • Previous work experience using Microsoft Office Suite
  • A Bachelor’s Degree
