Administrative Records Assistant (Temporary Position)
The Village of Villa Park is currently recruiting for a temporary Administrative Records Assistant. This position will assist with records management, retention and archiving of the Community Development department files. This position will also assist with moving identified files to electronic records system. This will involve scanning paper documents and electronically organizing files into the server. The ideal candidate for this role will be detailed orientated, a quick learner, and tech-savvy.
This is a temporary position scheduled for approximately 20 to 25 hours per week for approximately 12 weeks. Flexible schedule available within business hours. The pay for the position is $15 per hour. Position is contingent upon successful completion of a background check.

Responsibilities
- Other administrative duties as assigned by the Community Development Director
- Verify and validate scanned image is accurate and matches paper files.
- Assist in long term storage of paper files to assist in record retention and destruction guidelines.
- Ensure scanned documents are properly organized electronically.
- Provide periodic reports to Director of Community Development related to conversion services.
- Analyze previous record destruction authorization forms and determine paper files eligible for shredding.
- Review, organize and prepare department files prior to scanning.
- Review record retention laws and guidelines to ensure compliance.
Qualifications
- Strong organizational skills, detailed orientated and proactive
- Ability to understand and follow office policies and procedures
- Proficiency in Microsoft Office
- Position requires frequent standing in order to scan documents
Physical Demands and Work Environment:
- Frequently required to stand, walk, sit, use hands and fingers in a repetitive motion, twist and turn for long periods of time.
- Requires frequent back and forth from desk to copier in order to process electronic record scanning.
- This position works primarily in an indoor office setting with low to moderate noise level. Frequent interruptions may occur.
- Will require some light lifting, pulling, pushing and carrying of up to 50 pounds.
