Job Description
Join our dynamic team as an Administrative Support Specialist and play a vital role in supporting our AHM Law Unit, Mfg./Development Legal Support Division. As a key member of our Operations Department and Commercial, Regulatory and Litigation Department, you will contribute to the efficiency and effectiveness of our operations through your professionalism, customer service skills, initiative, and commitment to continuous learning and improvement.
Responsibilities
Provide comprehensive on-site support to our AHM Law Unit, Mfg./Development Legal Support Division, ensuring seamless operations. Additionally, provide secondary on-site support to AHM Law Mfg./Development Legal Support Division's Employment, Workers Comp., and Immigration Department, and virtual support to our Local Manufacturing Legal Support Department with teams located in Alabama, Indiana, and South Carolina.
Utilize your expertise in Microsoft Office applications (Word, Excel, PowerPoint) to create and modify moderately complex documents and presentations.
Efficiently manage calendars, schedule meetings, and handle travel arrangements and expense reimbursements using Honda-specific applications. Enter and maintain legal matter data and documents through the use of tools like Team Connect and Documentum.
Maintain a well-organized filing system, both electronically (Microsoft Teams, SharePoint Online) and physically, ensuring easy access to records, correspondence, and other materials. As the Division's Back-up Records Representative, you will be responsible for maintaining a structured document framework.
Generate regular reports for the Division's Operations and Management Teams, utilizing various Honda systems and Excel to provide valuable insights.
Support the onboarding process of new associates into the Law Division, coordinating orientation activities and ensuring they have the necessary technology and resources.
Contribute to the facilitation of weekly Division meetings and assist in planning and executing Division-level events, including All Team meetings, fostering a collaborative and engaging work environment.
Take charge of managing the Division's mail, packages, and faxes, including daily retrieval, distribution, and preparation of outgoing mail and packages. Provide exceptional service in handling faxes, scanning, and promptly distributing incoming mail to the appropriate associates.
Daily Tasks
Work collaboratively as a member of the Operations Team within the AHM Law Unit Mfg./Development Legal Support Division, providing consistent and high-quality administrative support. Create, edit, and format documents using Microsoft Word, Excel, and PowerPoint.
Utilize various Division/Department-specific databases such as Team Connect, SharePoint, Documentum, Microsoft Teams, Mainframe, PeopleSoft, and Records Index System (Filebridge).
Efficiently schedule, plan, and coordinate meetings across multiple locations, ensuring smooth communication and coordination.
Provide clerical, mailing/shipping, and technical support to associates within AHM Law as required.
Coordinate travel arrangements and manage expense reimbursements for Division associates.
Provide valuable support in executing Division projects and initiatives, contributing to the achievement of organizational goals.
Required Skills
Proficiency in Microsoft Office 365 applications (Teams, Excel, PowerPoint, Word, and Outlook) with the ability to work confidently within moderately complex documents, spreadsheets, and presentations.
Strong organizational skills and attention to detail, ensuring accuracy in all tasks.
Excellent written and verbal communication skills, allowing effective interaction with colleagues and stakeholders.
Customer service orientation, delivering exceptional support to internal and external stakeholders.
