JOB DESCRIPTION
CONSTRUCTION PRACTICE
Michael Baker International’s Construction Services staff supports clients by acting as their trusted on-site agent through all phases of construction, from pre-design to close-out, by providing qualified construction managers, inspectors, constructability reviewers, schedulers, estimators and safety experts. As new technologies evolve throughout the construction industry, innovative ideas are required to maintain and deliver successful construction projects.
DESCRIPTION
The Administrative Assistant I will serve as part of the administrative staff assigned to the I-95 widening projects with the primary workplace being at 4321 Fayetteville, Rd. Lumberton, NC 28358.
The Administrative Assistant will perform various clerical duties which will include typing, filing, copying, time sheet receiving and distribution, letter drafting, attending various monthly and biweekly meetings, generating meeting minutes, tracking, and documenting pay quantities-dollar figures for work items associated with the project.
Other job duties include but are not limited to:
- Assist in printing and documentation
- Support team with day-day to administration
- Review of agreements, scope, items, compile pertinent responsibilities to track
- Resolving customer issues.
- Track action items, follow-up needs, and upcoming milestones/deliverables
- Assist the project manager to prepare status reports and invoices
- Prepare agendas
- Organize and maintain file system, file correspondence and other records
- Prepare ad-hoc templates, reports for the project as required
- Assist team in client interface and provide information to project client as per directive from project manager, and other duties as assigned
- Record and transcribe summaries of meetings
- Keep the project team updated on new document versions and how to obtain access
- Coordinate and arrange meetings
- Maintain confidentiality of sensitive documentation
PROFESSIONAL REQUIREMENTS
- Detail oriented as well as organized, and multitasker
- Proficiency with Microsoft Windows and Office and working with Adobe preferred
- Ability to engage and communicate effectively (written and verbal) with stakeholders at all levels
- Can work independently without much guidance
- Understanding of construction projects, document control systems, and general accounting a plus, but not required
- GED or High School diploma
- Attitude toward continuous process improvement
- 0-2+ years of related experience
- Knowledge in state government related personnel policies, procedures and programs.
- Experience with NCDOT a plus
COMPENSATION
The hourly range for this position is $18.47 - $35.91/hr. This will be dependent on the experience and expertise of the incoming candidate.
