Position: Administrative Assistant / Front Desk


Hours: Part-time (up to 20 hrs per week)


Pay Range: $15-17/hr


Job Summary


We are seeking an Administrative Assistant / Front Desk for our Melbourne, FL office to support with coordination, scheduling, data entry, and ownership of many office duties in a fast-paced environment. As a candidate, you will be self-motivated, resourceful, extremely organized, and a critical thinker.


Responsibilities And Duties


Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. The Administrative Assistant / Front Desk will:


  • Manage an extensive contact list.
  • Manage visitor log.
  • Check the mail and distribute it to the correct people.
  • Coordinate events, book event locations, and schedule vendors.
  • Manage and schedule office cleaners, landlord communication, lease management, and HVAC maintenance.
  • Create and update forms and standard operating procedures.
  • Complete expense reports.
  • Answer the office phone and direct or transfer calls appropriately.
  • Support marketing efforts by managing metrics, creating presentations, and proofreading material.
  • Book travel and manage the travel fund.
  • Receive packages and organize office supplies.
  • Be responsible for monitoring and ordering all supplies, employee gifts, and materials.
  • Complete daily timecard audits.
  • Enter data and monitor for accuracy.
  • Other duties as needed.


Qualifications and Skills:


  • 1-3 years in a customer-facing role.
  • MS Office: Word, Excel, Outlook, Access, PowerPoint, Project.
  • Ability to multitask and meet deadlines.
  • Strong attention to details and technicalities.
  • Good interpersonal and multi-tasking skills.
  • Excellent organizational and technical skills.
  • Good written and verbal communication skills.
  • Emotional Intelligence.
  • Associate degree in any field.


Work Authorization/Security Clearance:


Must be a U.S. Citizen due to government contracts and possible security clearance requirements
