High school diploma or high school equivalency diploma; and three years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office. **Substitution: Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may be substituted for two years of required experience.
Preferred Qualifications: Three or more years providing administrative support to C-Suite executives or high-level directors or managers; broad knowledge of the health care regulatory environment; experience with Microsoft Office products; experience with videoconferencing software; strong writing and verbal communication skills.
The position will function as the Executive Administrative Assistant for the Department of Health’s Metropolitan Area Regional Office. Reporting to an Associate Commissioner, who is a member of the Department's Executive Managment team, the Administrative Assistant 2 will be expected to perform their assigned duties in a secure, sensitive and confidential manner. The Administrative Assistant 2 will answer and triage telephone calls; distribute incoming correspondence to appropriate staff or programs; track the status of projects across the regional office; manage paper and electronic filing systems; coordinate conferences, meetings, and special events; maintain executive calendars, and make travel arrangements for staff; and serve as a liaison between executive and managerial staff. The incumbent will also research and assemble facts required by executive staff to make decisions and reply to correspondence; draft and proofread correspondence for executive signature; summarize various reports, articles, and other documents for executive review; take and distribute meeting minutes; and may supervise other administrative support and clerical staff.
