Job Description

Job Title:

Admin Assistant II

LOCATION: Seattle, WA

DURATION: 6+ Months

100% Onsite

REQUIREMENT:

Qualifications and experience desired:

•Two years of general administrative experience.

•Word, mail merge functions, formatting, use of tables, and other activities generally associated with intermediate proficiency.

•Excel, with the ability to create and maintain spreadsheets, graphs and reports, including pivot tables and linked worksheets.

•Grammar, punctuation, spelling.

•Time management, including priority setting and resetting.

•General office practices and extensive filing.

•Procedures for handling privileged or confidential documents.

•Communication in English, in writing or verbally.

•Attention to detail to identify and correct errors.

•Setting and resetting priorities.

•Working with teams.

•Persevering in difficult situations with tact and diplomacy.

•Responding with flexibility to changing priorities.

•Working well independently and in teams.

•Communicating about deadlines.

•Providing good customer service.

Projects and functions to be performed:

•Coach Operator Trainee Uniform (would “own” this program with Wendy Nelson’s oversight)

oOrdering for new trainees

oTracking returns

oOverall program administration


•Pre-Academy (would “own” this program with Gabriel/Treva oversight)

oRoom proctoring (my concern is a revolving 2-hour schedule, 10 days of the month will lead to schedule vacancies/misses, inconsistency of information shared, perpetual proctor training with who to ask questions of, monitoring trainees out for CDL testing, sign-in and hours worked reporting to payroll responsibility, etc.)

oWork with IT on device issues

oHave a phone tree to be able to answer questions that the trainee’s may have (might be a good idea to have an answer tree as well)


•Coach Operator Academy/Instructor Support

oGreen bag production

oTrainee Manuals

oFiling (especially the daily evaluations)

oGraduation support

oInventory for COA needs

oCoach Operator Instructor uniforms


•New Employee Orientation (every 2 weeks) – this is a missing component between EE and Training

oLiaison with EE (Caitlin and her team) with room set-up, clean-up, manage schedule changes/communication, and other support as needed

oConfirm attendees (COT) for payroll


•Other Corporatewide Trainings

oHelp with set-up

oProvide refreshments for trainings

oTaking necessary training materials for the classes to the class location
