The Warranty Clerk is responsible for reviewing and completing warranty claims. This includes preparing, recording, reconciling warranty claims, and submitting them to the appropriate O.E.M. vendor. Review and refile of denied claims. This position requires a constant review of changing warranty policies and procedures.


Essential Functions


  • Review warranty repair orders for proper completion, accuracy and times billed according to the O.E. vendor policies and procedures
  • Verify all warranty parts are tagged with the required information to return to the factory if requested
  • Attend warranty training courses as needed
  • Assist service customers and technicians with any warranty questions or training
  • Provide all information requested in Vendor warranty audits
  • Handle and resolve claim corrections and charge-backs
  • Assist the Service Manager or Technician as needed to check each warranty vehicle for outstanding recalls, VONs, or other warrantable claim opportunities
  • Assist service consultants in closing all open warranty RO's
  • Fluent understanding of all vendor’s warranty policies and procedures to maximize warranty opportunity
  • Assist with special projects, audits, and reports as requested
  • Report any fraudulent manipulation of warranty claims
  • Checking, verifying and processing warranty claim forms


Competencies


  • Goal-driven, self-starter, willing to take initiative and manage time appropriately.
  • Computer oriented, and experienced with Microsoft computer software programs, (Word, Excel)
  • Ability to read and comprehend written instructions and information
  • Good verbal and written communication skills
  • Strong organizational skills and attention to detail a must
  • Ability to handle multiple tasks simultaneously and remain flexible as to job requirements
  • Demonstrated customer service skills
  • Strong interpersonal, verbal and written communication skills
  • Understanding of vehicle parts and repair processes


Required Education And Experience


  • Experienced with Microsoft computer software programs, (Word, Excel,)
  • 2 years’ experience in Customer service. Dealership experience preferred.
  • General knowledge of commercial truck parts and vehicle mechanical systems/repair processes.


Experience


  • Customer service 2 years (Preferred)
