The Travel Coordinator is responsible for finding and arranging the appropriate modes of travel, such as flights, rental cars, and lodging, for escorts and minors as requested. This also entails working with Southwest Key Programs (SWK) Unaccompanied Minors (UM) staff to coordinate escorts, travel to and from the airports, meals, or handle special circumstances related to travel, etc. The travel coordinator is required to maintain a flexible, organized, and efficient work schedule and subject to work extended hours, weekend and be on-call.
- Ensure that all travel requests are processed per travel guidelines and federal requirements
- Perform data entry functions and handle information accurately regarding traveler information and itineraries
- Document issues related to travel and participate in problem-solving activities
- Coordinate with SWK staff to find and arrange the appropriate mode of travel such as flights, rental cars, and lodging via the travel management system
- Perform all travel-related functions in accordance with Procurement and Contract Services standards and procedures
- Coordinate with SWK staff to ensure pick-up or drop-off at travel stations of minors (i.e., airports)
- Draft professional correspondence regarding travel topics and arrangements and provide strong customer services to SWK staff regarding travel needs
- Serve as a liaison between SWK staff and the travel management vendor regarding travel issues or questions
- Review reports as required to confirm travel arrangements and/or costs
- Able to react to change productively and handle other essential tasks as assigned.
- Conduct project research, planning, and project management tasks.
- Ability to work rapidly and be an independent and fast learner.
- High school diploma or an equivalent
- Experience in coordinating travel for unaccompanied minors is preferred.
- At least one year of experience in travel management (i.e., coordinating travel)
Must be able to read, write, and communicate. While performing the responsibilities of this job, the employee is required to bend, lift, seize, hold, grasp, turn, or otherwise work with hand or hands. Expressing or exchanging ideas by means of the spoken word. Must be able to lift up to 20 pounds.
Work Environment::Ability to work a flexible work schedule is required to dependent upon the department, facility, or program in which s/he works and job duties assigned. Work schedules are subject to variation from time to time depending on the needs of the department, facility or program. The work performed in a shelter setting which operates 24 hours a day, 7 days a week, and until completion of the contract.
