Job Description
Summary:
This position works collaboratively with all members of the Learning and Leadership Institute performing administrative duties, assisting with operational activities, and coordinating training delivery for both instructor-led and digital content delivery. Working closely with cross-functional customers, this role ensures a positive learning experience by managing the logistical aspects of training delivery. This position also has responsibilities for customer service, process improvement, data collection, and reporting.
This is a remote position with regular on-site responsibilities (i.e. “hybrid”).
Responsibilities:
Provide overall administrative support including, but not limited to: coordinating meetings and events, creating and/or formatting various documents (e.g. Microsoft Word, Excel), creating and maintaining a logical system and directory for active and archived electronic files; maintaining the department intranet home page.
Maintain the Learning Center event calendar; coordinate events including the scheduling of rooms and attendees. Act as first point-of-contact for Learning Center learners and users. Provides a human-centered approach to customer service.
Assist professional staff and director with complex scheduling needs based on established norms. Coordinate administrative aspects of events including logistics, creation and/or procurement of materials and supplies without specific direction. Carries out procurement duties in a cost-conscious manner.
Coordinate administrative activities for specific programs such as our various leadership development programs including catering, procuring materials, scheduling rooms and participants, participant roster management, and communicating relevant information to leaders.
Perform administrative and reporting activities related to digital delivery of learning content specifically with the Learning Management System (LMS). Assists with other forms of digital content delivery including not-yet-known and emerging technologies.
Collect and analyze performance metrics (e.g. usage, ROI, etc) using appropriate software (e.g. Excel, Access, etc). Create charts, graphs and reports to illustrate measures or results using appropriate software (e.g. Microsoft Word, Excel, Access or PowerPoint). Collect internal data (employee opinions, attitudes, performance and quality metrics using appropriate survey administration software (e.g. Survey Monkey).
Continuously identify, propose or implement opportunities for improving department operations and processes. Partner closely with Learning and Leadership Institute leaders to create administrative efficiency.
WORK EXPERIENCE
2+ years Job related experience Required
High-level administrative experience or experience as a department coordinator Preferred
EDUCATION
Four-year Bachelor's degree or equivalent experience Required
