Job Description

Talent Strategy and Support Associate

Main Function:

Work under the Director of Education and Curriculum to coordinate all talent hiring and human resource activities. Support the Director of Education and Curriculum, staff and the wider school community in activities related to school operations.

Human Resources and Talent Strategy

  • Interview, provide orientation and training of new substitute teachers
  • Write contracts for new employees, employee renewals, etc.
  • Co-Screen applicants and recommend resumes for further review
  • Create contracts for TES employees
  • Assure candidate follow up is timely and appropriate
  • Create data reports to assist in being data-driven in all hiring choices
  • School website communicates appropriately to candidates and to parent stakeholders about candidates
  • Assure license renewals are conducted properly and in a timely fashion
  • Track staff certification/license processes
  • Co-coordinate all recruitment and talent goal-setting and planning processes.
  • Organize and coordinate candidate phone screenings, interviews, etc.
  • Coordinate and organize in-person interviews, including preparing materials for the hiring team
  • Notify staff of licensure tests, deadlines, etc.
  • Oversee and Liaise for all employee marketing efforts: work with DEC to:
  • Hire, coordinate and supervise substitute teachers
  • Co-create talent and recruitment calendars, strategies, benchmarks, goals
  • Conduct staff exit interviews
  • Assist DBO with collecting financial paperwork
  • Assure clear and inspiring role descriptions are used
  • Work alongside DBO to assure staff salaries are accurate
  • Supervise/check-in with substitute teachers while they sub at school - check in with regular staff about the subs
  • Assure job postings are up to date and accurate
  • Creation of retention statistics presentation and determination of high-yield staff recruitment sources
  • Conduct phone screenings and reference checks as required
  • Assure all new candidate paperwork is turned in, processed and organized.
  • Create reports for administration and board about reasons staff leave and collaborate in suggesting methods to retain high-quality staff
  • Create a working knowledge of the latest certification/license requirements
  • Communicate with NCDPI regarding licenses
  • Create/Maintain a list of new markets for staff and deploy relationship builders as needed
  • Process licenses at the school level
  • Post or remove postings as necessary
  • Monitor and help ensure that all teachers maintain current certification/licensure
  • Coordinate background checks for new hires
  • Track and organize all employment agreements


Support

  • Reordering books for ELA teachers
  • Google Calendar
  • Transition ELA books (ie. Q1 books for Q2 books) for staff
  • Coordinate with school photographer to schedule student photos (fall/spring) and create schedule for classes
  • Serve as a liaison between the outside tech who serve TES and the students/staff
  • Inventory Curriculum and prepare orders as necessary
  • Check in/out BOY and EOY all staff computers and other devices
  • Coordinate events that help staff feel cared for and connected
  • Help organize and prepare Fabulous Fridays, staff lunches, EOY/BOY celebrations
  • Other Random Support Areas:
  • Tech Support
  • Listen to staff questions and refer staff to best person for answer
  • Coordinate Substitute Teachers for Staff
  • Social Media
  • Support the DEC by maintaining a tracking system for CEU’s earned by staff at TES
  • Maintain spreadsheets of all staff absences
  • Prep: Packets, binders, materials for Professional Development
  • Create and maintain spreadsheets, organizing all staff and student devices including but not limited to staff computers, student chromebooks and iPads
  • Track CEUs earned by teachers at our building
  • Science and Engineering Kits: Create spreadsheets or other records of school owned kits.
  • Prepare print-outs of CEUs for teachers at the end of employment
  • Label and organize all staff and student devices
  • Help onboard new TES board members (background checks, paperwork, etc)
  • Support the TES Board
  • Coordinate with the parent group TESCA to help with staff appreciation events
  • ELA Books
  • Post approved board minutes on the TES website
  • Administrative Support for the DEC in the following areas:
  • Keep track of fuel in the TES buses, fill up with gas when needed. Keep track of bus key sign-out.
  • Stamp new books that are ordered
  • Work with teachers to inventory kits for necessary item re-orders and re-order materials as required
  • Scheduling for staff training, staff travel, staff appointments, etc.
  • Help clean spaces when staff leave to prepare for new staff
  • Update approved policies on TES Master Policies List
  • Support events for staff appreciation such as staff lunches, etc
  • Maintain a substitute teacher database for schedules and payroll
  • Staff support
  • Create posts for the school’s Facebook/Instagram account
  • Check in/out FOBS to staff
  • Invoice students for lost books
  • Website Updates
  • Recognize staff birthdays (send an email, etc.)
  • Go to the grocery store, coffee shop, flower shop, etc to get staff appreciation items.
  • Help cover class recesses when needed
  • Direct support to the Director of Education and Curriculum in on other support activities as required
  • Be available early in the morning to text for substitute teachers
  • Contribute to updating all areas of the website
  • Recognize staff who leave/retire
  • Celebrate and organize individual staff milestones (marriages, baby arrivals, National boards achievements)
  • Help with arrival and dismissal procedures of students
  • Keep google calendars for the school updated: internal staff calendar, TES public calendar (linked to website)
  • Help book visiting events for the school (Duke Energy)
  • Materials: organize ordering of curriculum materials needed by teachers
  • Give back-up support at the front desk/nursing when needed (Give the nurse a lunch break)
  • Identify tech related issues caused by students (broken screens, etc) and send fee letter to families
  • Math, Second Step, Step up to Writing, etc.
  • Ensure teachers are using spreadsheets to sign out books
  • Report staff issues to the DEC
  • Have a major understanding of the master schedule and use that knowledge to create best schedules when there are staffing shortages
  • Prepare Form E’s for teachers at the end of employment


Required

  • Able to sit, stand, go up and down stairs and hills, walk across multiple surfaces, bend and reach
  • Minimum: Bachelor’s Degree

Hours

M - F: 7:30am - 1:30pm on campus, 1 hour a week off campus (for early morning/weekend substitute phone calls/texts)

Works: All Student and Teacher Workdays - as indicated in the school calendar + a few additional days during intersession breaks/summer


Salary

$20 - $23 an hour based on Experience/Skill Set
