WHAT WE CAN ACHIEVE TOGETHER


The Senior Operations Program Specialist will work as part of the Legal Operations team within the Global Legal & Enterprise Risk Team (GLT/ERT) to enhance the department’s technology capabilities and other initiatives. The Senior Operations Program Specialist will coordinate tasks related to one or more functional activities, such as operations support, procurement, meetings management, special events, training, volunteer programs, etc. The position is supervised by the Director of Finance and Operations (DFO). This is a hybrid position out of the Arlington, VA office and will be expected to work in office Monday - Wednesday of each week.

WE'RE LOOKING FOR YOU


The Senior Operations Program Specialist will work towards meeting the strategic priorities of the GLT/ERT by implementing approved plans and completing day-to-day tasks and activities. They will respond to inquiries about program activities, create program materials, and draft correspondence. They will be well versed in the systems and resources utilized by the team to execute assigned tasks. They will apply strong organizational skills and attention to detail to maintain, track and research data, produce and review reports, and perform program analysis. They will provide support and targeted training related to the functional area of the team. They will implement strategic program goals and be able to seamlessly manage multiple tasks simultaneously. The Senior Operations Program Specialist will communicate with staff in various programs across the Conservancy, as well as with volunteers, vendors, and business relations using diplomacy and tact to build strong relationships. They will communicate and distribute accurate information to assist staff in making decisions, solving problems, and improving workflow.

The Senior Operations Program Specialist will manage and maintain the GLT/ERT Connect site, a Microsoft SharePoint-based internal website for Conservancy staff, and serve as both Legal Operations Records Coordinator and One Place One Search (OPOS) Coordinator. The GLT/ERT Connect sites are designed to provide Conservancy staff with guidance and resources in those areas where their work involves legal services and to provide resources to GLT/ERT members. The Senior Operations Program Specialist is responsible for understanding the overall organization of the site, the technological capacities and constraints of SharePoint, the steps that must be taken to ensure that documents and other materials appear in appropriate topic areas, and for updating materials. Additionally, the Senior Operations Program Specialist establishes and maintains procedures for creating site content, naming files, and adding materials to the site. They will collaborate with the attorney and DFO who are responsible for the site, and they will coordinate with other Legal staff who are responsible for specific legal topic area content.

GLT/ERT Connect Site Administrator:

Create and edit Connect pages to maintain accuracy in available information.
Maintain accurate and up-to-date SharePoint lists and document libraries.
Manage permissions for access to the site by various groups.
Create and maintains procedures for Legal staff responsible for specific content.
Respond to requests for content management and comments from TNC staff.
Coordinate and maintain protocol with all Legal staff creating content for the site.
Liaise with TNC Information Technology and Collaboration@TNC teams.
Keeps up on latest advances in SharePoint technology and takes initiative to suggest improvements to Legal Connect based on SharePoint advances.
Acts independently on assigned tasks and exercises independent judgment based on analysis and experience, referring difficult questions and unusual problems to supervisor.
Demonstrate sensitivity in handling confidential information.
Coordinate projects with several variables, working within a defined timeline and budget.
Perform non-routine analysis, research, and follow-through.
Ensure compliance with Conservancy policies and procedures, and external requirements.
Manage projects with several variables – setting realistic deadlines, managing a timeline, and ensuring accountability.

Legal Operations Records Coordinator:

Responsible for administering the Records Management Program for the operations, human resources, executive, and legal teams i.e., managing, retaining, and destroying records created or maintained by staff members in accordance with TNC Standard Operating Procedures.
Responsible for ensuring that external vendors who manage Conservancy records are managing those records in compliance with the Records Management, Retention, and Destruction Policy, this SOP, and the Records Retention Schedule.

Global Legal Team Coordinator, One Place One Search (OPOS) Project:

Coordinate with leads in those substantive areas and help guide the migration of their records into the OPOS platform. The OPOS Coordinator will work with support staff and attorneys in their respective working groups to organize and prepare their files for migration to the OPOS platform and will act as a resource for their working groups on matters related to OPOS. The coordinator will provide advice and assistance to the Global Records Manager on training needs, best practices, and ongoing support GLT-wide.

GLT/ERT Operations:

Track and update legal lists (i.e., contacts, computer assets, bar dues).
Manage staff milestone/anniversary and You Rock Awards programs.
Arlington Office mail distribution.
Assist with Arlington Office space planning.
Purchasing, processing invoices, contracting with vendors, and assisting with budget preparation.
May function as a resource to others to solve problems and act in supervisor’s stead when instructed.
Work is diversified and may not always fall under established practices and guidelines.

WHAT YOU'LL BRING

  • Experience working with cross-functional teams.
  • Experience generating reports and analyzing and interpreting the data.
  • Experience with business process analysis and/or improvement.
  • Experience with current technology in relevant field.
  • Experience with SharePoint and/or other database experience.
  • Bachelor’s degree and 3 years related experience or equivalent combination.
  • Experience managing and implementing multiple projects.
