Job Description

We are in search of a Scheduling Coordinator for our Scottsdale office (this is a hybrid role). This position plays a critical role for the organization by efficiently managing and coordinating all scheduling activities related to candidate interviews, client meetings and more. As a Scheduling Coordinator, you will be responsible for maintaining an organized and streamlined scheduling process, ensuring that all internal Recruiters, candidates and clients all have a smooth and efficient experience.


Responsibilities:

  • Collaborate with other team members to streamline processes and improve overall efficiency.
  • Help in organizing and maintaining candidate and client files, ensuring confidentiality and data protection.
  • Assist with general administrative tasks, such as taking notes on client calls, responding to emails, managing documentation and more.
  • Update and maintain accurate records in ATS of any updates and/or changes in scheduling.
  • Ensure all relevant parties have access to up-to-date schedules and calendars.
  • Utilize Microsoft Outlook manage calendars and appointments efficiently.
  • Coordinate candidate interviews (Schedule interviews between candidates and Recruiters as well as between candidates and Clients) across all time zones.


Requirements:

  • Outstanding communication skills, both written and verbal, with the ability to interact professionally with clients, candidates, and team members.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Excellent organizational and time management skills with the ability to multitask effectively.
  • High level of professionalism, integrity, and discretion when handling confidential information.
  • 1+ years experience as a Scheduling Coordinator, Administrative Assistant, or similar role, preferably in the Staffing industry or in Recruiting.
  • Strong attention to detail and accuracy.
