Job Description
Provides medical business office clerical assistance.


  • Gather patient information from outside medical institutions to complete referral orders and fax to referring providers & specialist
  • Complete referral tasks in Allscripts.
  • Process orders such as home healthcare, durable medical equipment and respiratory, etc.
  • Obtain authorization for orders from insurance companies
  • Coordinate patients care via phone with outside care managers
  • Retrieve and process messages from the referral line left by providers and patients
  • Process online referrals via insurance company’s websites as well as manually written referrals
  • Provide necessary CPT and ICD-10 coding information upon request
  • Complete financial authorizations task in Allscripts.
  • Review referral-tracking reports
  • Retrieve patient information from Allscripts to fax to referring providers & specialist
  • Provide in-service to new faculty, residents, and med students
  • Obtain pre-certifications for diagnostic test
  • Instruct patients for preparation for specific testing and procedures
  • Obtain authorization and schedule out-patient procedures & wound care
  • Process orders, schedule appointments and follow-up for specialty procedures in order to complete orders for imaging and other requested tests
  • Process referral orders, schedule patient appointments and follow-up with referring provider or specialist for completion of referral order


PATIENT CONFIDENTIALITY MUST BE MAINTAINED AT ALL TIMES.


Performs other duties as assigned.


EDUCATION


High school diploma. Successful completion of a Medical Assistant program and certification (RMA or CMA) is highly preferred.


Experience


Minimum of three years of referral experience in regards to the process of authorization and eligibility for insurances required. Must be knowledgeable of the various types of insurance carriers (ex. HMO, PPO). Familiarity with Medical Terminology, ICD-10 and CPT preferred. Medical applications software experience preferred. Customer service oriented individual is required.


US-VA-Norfolk


Welcomes patients and visitors by greeting them in person or on the telephone. Schedules office visits, follow up appointments and in office procedures for 11 physicians, including surgical oncologists, a plastic surgeon and acute care surgeons. Answers multi-phone line. Assists patients with their office visit to include checking them in and out, assuring insurance information is accurate, and personal information is updated. Corresponds daily with administrative staff regarding physician’s calendars and schedules. Obtains pre-authorizations and confirms eligibility of insurance. Acts as liaison between the patient, physician, hospital, business office and insurance companies in scheduling surgical appointments.


Schedule all surgery appointments for 11 surgeons and 1 physician assistant.


Confirm all patient appointments that were not able to be reached by USA notify 2 days in advance.


Register new patients, verifying and confirming information is complete and accurate.


Accept patient payment for co-pay’s, past due balances, supplies and procedures. Ensure accuracy of batch and prepare deposit.


Communicate to patients all appointments that have been scheduled, making sure patient is aware of everything needed for appointments.


Assist patients with checking in and out for their office appointment. Update personal and insurance information in charts.


Verify patient’s insurance. Obtain insurance referrals and authorizations when required.


Check all patient charts before appointment to include informing patients of any previous balances that may be due at the time of service.


Send task messages to appropriate personnel as necessary.


Receive internal/external patient referrals, schedule appointments and follow up with referring provider through Allscripts.


Responds to all FollowMyHealth messages and correspondence.


Scan and organize hard copy medical record documents into patient’s EMR.


Respond to requests for medical records.


Answer multi-phone line, assist caller appropriately.


Performs other duties as assigned.
