Job Description
General Summary:


The Receptionist & Administrative Assistant offers administrative and clerical support for the Company’s office, and acts as an on-site liaison for the Human Resources Department.


Essential Duties:


  • Maintains the strictest confidentiality of personnel-related information
  • Greet, welcome, and direct guests as soon as they arrive at the office, ensuring all employees, vendors, and guests are welcomed with a positive demeanor
  • Oversees the completion of applications for parking transponders and office access cards; acts as a liaison between property management and the Company for communication regarding such items
  • Provides clerical support to the Human Resources Department
  • Ensure the tidiness and safety of the office is maintained at all times
  • Opens and delegates personnel-related mail and packages for the Human Resources Department
  • Ensure the office is fully stocked with office, kitchen, and bathroom supplies. Also ensures there is an adequate supply of employee appreciation items
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items to the appropriate in-office departments
  • Manages relationships with office vendors to ensure maintenance and housekeeping functions are scheduled and carried out as appropriate; acts as the main point of contact for third party vendors that provide services to the office
  • Assists the Human Resources Manager with event and meeting planning for the Company
  • Answers, screens, and directs phone calls to staff; takes messages and relays them as appropriate
  • Acts a liaison for in-office staff and the Human Resources Department, directly sensitive personnel matters to the appropriate party in the HR Department
  • Receive and mail payroll checks, documenting tracking numbers for each mailed item and providing them to the applicable employees
  • Ensures that workstations are set up and prepared for newly hired in-office staff
  • Reports safety concerns regarding the integrity of the office to the Human Resources Manager and assists in addressing them
  • Assists with Human Resources related functions and projects as assigned

Job Specifications: (Knowledge, skills, abilities and experience normally required for competent performance)


Knowledge And Experience


  • Minimum 2 years of relevant office experience preferred
  • High School Diploma or GED required


Skills And Abilities


  • Ability to be resourceful and proactive when issues arise
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Solid written and verbal communication skills
  • Excellent organizational skills
  • Proficiency in Microsoft Office Suite
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Professional attitude and appearance
  • Proven work experience as a Receptionist, Front Office Representative or similar role


Compensation: Starting at $16-$18 per hour, Dependent on Experience
