Job Description

The receptionist/front desk admin assistant's main duty is to represent the company professionally and be the first point of contact for customers and visitors. The receptionist is responsible for welcoming visitors and guiding them through our check-in process. Taking telephone calls, discerning their importance, and directing them to their destination is a core duty. As a front desk administrator, you will need to keep and maintain department directories and be responsible for routine clerical and secretarial needs of the HR manager and other senior staff. This job will also include opening and closing the main entrance to the office daily and distributing company mail as needed. This position may also include assisting our Sales, Marketing, and Management staff with meeting their food order requests for ASI clients, vendors, or partners that visit the campus at ASI.


Duties And Responsibilities
  • Maintain meeting schedules and follow-up on actions from previous meetings, ensure those not in attendance receive meeting notes.
  • Other executive assistant and receptionist duties will be assigned as needed.
  • Coordinate sign up for fundraisers.
  • Organize and make sure staff meeting runs smooth weekly.
  • Answer and direct inbound phones to appropriate employees.
  • Take notes, roll, and actions during Product Steering meeting, pulse meeting/PM Retro, ASI business review, and quarterly planning meetings.
  • Coordinate with our Sales, Marketing, and Leadership team to schedule conference rooms, front lobby TV's, and any other admin services needed.
  • Work with accounting team to balance petty cash monthly.
  • Follow up with managers to ensure duties are taken care of.
  • Charity Event Duties:
  • Office Administration Duties:
  • Compassionate duties (flowers, cards, anniversary).
  • Executive Assistant Duties:
  • Assist ASI employees hosting guests to use SAP for food services requests; coordinate with vendors to arrange deliveries.
  • Assist with planning work parties and activities.
  • Scheduling & Hosting Duties:
  • Greet company visitors get them into contact with their host.
  • Send mail out.
  • Coordinate international trips.


Required Education, Work Experience, Job Skills


  • Must be computer literate and have experience using Excel, Word, Outlook, PowerPoint, Fax machines, and other office tools.
  • 1-3 years of experience preferred.
  • Very detail oriented, organized.
  • Ability to carry out written or oral instructions from supervisor.
  • Strong organizational skills.
  • Requires a high school diploma or equivalent work experience.
  • Experience in office occupations, secretarial, office clerical experience required.
  • Must have excellent customer service skills. Demonstrates a courteous and professional attitude with people, in person and on the telephone.
  • Must have great communication skills.
