Position Title: Receptionist (Part Time Opportunity)
  • Long Beach, CA
- Regular Business Hours, Monday - Friday
- Starting hourly rate $18 - $20

GENERAL SUMMARY:
Responsible for Front Desk Reception duties, including: Answering the main phone line and transferring calls to the correct associates; greeting visitors and assisting them with the sign-in process; assisting with daily office mail sorting and distribution to the different individuals/departments; preparing outgoing mail; UPS/FedEx; and responding to emails send to the Office Services team; assists other departments with mass mailings as needed and electronically filing sorting and filling documents in Docuware.
ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Assist Office Manager with internal meeting logistics.
  • Perform other clerical duties when needed with special projects
  • Compete and send all request; W9, Certificate of Liability, Business Cards
  • Answer, screen and forward any incoming phone calls while providing basic information when needed.
  • Maintain POD storage by clearing and filing documents in Docuware
  • Prepare and present monthly Safety materials and meetings
  • Answer and route emails sent to the Office Services team
  • Update appointment calendars and schedule meetings/appointments using Microsoft Outlook.
  • Assist visitors and staff by greeting and welcoming them appropriately with a customer centered focus and ensuring that that they are signed in with a visitor badge
  • Printing and updating Rally Point roster daily

  • Ability to understand and carry out oral and written instructions, requesting clarification when needed.
  • Excellent organizational, documentation and follow-up skills. Must have strong attention to detail.
  • High School Degree
  • Ability to handle multiple tasks in busy environment, working independently to resolve issues and achieve results.
  • Ability to handle multiple tasks, work independently and be detailed-oriented.
  • Ability to make decisions and follow guidelines.
  • Ability to keep a high level of confidentiality
  • A positive approach and willingness to learn coupled with the ability to work in a team environment.
  • Proficient in Google Suite
  • 3+ years' work experience in similar roles
  • Strong communication and interpersonal skills to deal effectively with all levels of outside vendors, management and field personnel. Strong customer service skills and experience.
