Public Course Specialist

Reports To:Public Course Manager

Employment Type:Full Time,FSLA Status:Non-Exempt,EEO Category:Administrative Support Workers


The Impact You’ll Have:

You will help manage the logistics of Crucial Learning’s public training courses. You will be accountable for the entire life cycle of each event from start to finish, possess excellent project management and budgeting skills, work independently while also supporting team goals, and have an enthusiasm for excellence in your work. You’ll work with our clients to ensure an excellent customer experience and serve as their main point of contact for our training events.


What You'll Do:

The duties and responsibilities of the Public Course Specialist will include, but are not limited to:

  • Responsible for outgoing and return shipments of event materials and product.
  • Provide excellent customer service for attendees in a friendly, caring and accountably way.
  • Negotiate venue, catering, and audio-visual contracts including pricing, financial, legal terms and conditions.
  • Execute post-training activities for attendees and Crucial Learning internal departments.
  • Create a detailed work plan which identifies, and sequences activities needed to execute each event.
  • Monitor expenditures and maintain fiscal information; reconcile billing statements and make final approval of all payments.
  • Manage pre, real-time, and post event logistics with vendors and facilitators for all events fulfilling critical deadlines.
  • Maintain a yearly calendar of Crucial Learning Public Courses and Marketing for the US, Canada, and Virtual/On-line.
  • Create and maintain registration processes for each event including website management, attendee management, and other registration requirements.


Workspace / Technical Qualifications:

  • Hard wired internet connection with a minimum of 20mbps
  • Workspace large enough to accommodate two monitors.
  • A dedicated noise-limited workspace to ensure ideal voice interactions during video calls, team meetings, and training


What You’ll Need:

  • 1-2 years of meeting and event planning experience recommended
  • Professional oral and written communication skills with high-caliber client support.
  • Self-motivated including excellent time-management skills.
  • Strong project management skills.
  • Confident working with technology/able to describe how to use technology.
  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future
  • Work cohesively with other team members and departments.
  • Problem solver who can suggest improvements to processes to create ideal productivity; open to new ideas
  • Able to make key decisions with little supervision.
  • High level of proficiency in Microsoft Office applications. Understanding of Cvent, Lanyon or other event management system highly desirable.
  • Contract negotiation and budgeting experience.
  • Detail-oriented with strong ability to multi-task.
  • Experience in the events and meeting industry.
  • Bachelor’s Degree preferred
