The Project Contracts Specialist (PCS) is responsible for the successful initiation, planning, execution, monitoring, controlling, and closure of project sales orders, as determined by the Project Management Team Leader. The PCS develops a broad view of the project contract and understands the series of activities that must come together to execute the sales order as specified and on time, all while controlling risks and minimizing uncertainty.
The PCS is defined as being able to work independently with an ability to make decisions related to contracts, pricing structures and drawings under minimal supervision.
MAJOR ACCOUNTABILITIES/RESPONSIBILITIES OF JOB:
Project Execution:
- Reviews drawings and product design(s) in conjunction with Senior Project Contract Coordinator (SPCS) an PMO Engineering for compliance with company standards, customer contract requirements & related specifications, and recommends changes when necessary
- Certifies the adherence of project execution activities to company procedures and policies
- Analyzes project specifications and related data along with PMO engineering to provide accurate technical and sales order requirements to CAD technicians
- Manages and owns the documentation files including, worksheets and forms related to the project
- Enters orders into the ERP system
- Categorizes project files and specifications and shares with other WIKA stakeholders
- Monitors order progress and coordinates with engineering, procurement, planning, production, quality, and logistics to meet contractual project deadlines
- Ensures there is alignment between the customer’s required delivery date and WIKA commitment date, including milestone dates for document submittals and approvals, hold points, inspection, and testing dates
- Coordinates and manages project orders as assigned following company procedures and policies
- Coordinates with document control to guarantee the timely submittal and approval of documentation deliverables
- Supports Project Proposals Specialists (PPS) with the preparation and submittal of sales quotations when required
- Performs ancillary duties as needed
- Develops and owns the Project Plan that includes schedules, milestones, activities, procurement strategy, execution strategy, resources, communications, and risk analysis
- Serves as the primary customer contact for the duration of the project
- Coordinates with production, CoEs, subcontractors, and the customer throughout the life of the project to expedite deliverables and approvals and provides progress reports
- Reviews design documents, release, request, and change forms under the guidance of the SPCS or Project Management Team Leader prior to signature
- Examines project records -product files, related documents, and correspondence- for accuracy
- Ensures proper project close-out; such as lessons learned, documentation completion, payment completion, and MRO handoff
- Organizes and conducts internal and external kickoff meetings as demanded by the complexity of the project
KNOWLEDGE AND SKILL REQUIREMENTS:
- Capacity to perform under pressure and work independently with minimal supervision
- Computer literate and knowledge of Microsoft Office, Adobe Products, DMS, CAD, and ERP Systems
- Certified Associate Project Management (CAPM) preferred
- Good understanding of the EPC, Capital Projects, and Oil & Gas markets
- Exhibits organizational skills, attention to details, and ability to meet deadlines
- Strong verbal and written communication skills
- Knowledge of sales application processes
- Ability to take care of the customers’ needs while following company procedures and policies
- Bachelor Degree in related field such as Engineering or Business (preferred), coupled with 3+ years of project order management experience, or 6+ years of project order management experience in a manufacturing environment.
- Process industries instrumentation and controls experience preferred
