Project Management Coordinator (PMO)
Hybrid (Remote & Onsite; NYC and Northern, NJ)

This position will be responsible for supporting the Project Managers who lead the coordination of the day-to-day activities of enterprise-wide projects as part of the PMO team. This individual will support various Project Managers and business units in delivering projects, and will indirectly manage individuals on project teams and various third-party vendors who support Enterprise Projects. The role will require collaborating with a team of project managers to successfully deliver on various projects with a focus on meeting project commitments, including communications with executive sponsors, key stakeholders, etc.
Primary Responsibilities:
The Project Management Coordinator performs a wide range of duties and works across the organization to drive accountability, transparency, and project results in a variety of initiatives. Principal accountabilities will include performing the full suite of project management tasks for all elements of a project from planning to execution and closure. This individual will be accountable for helping to address organizational change management and developing communication plans throughout the lifecycle of projects. He/she will support the implementation of a standard project management methodology utilizing enabling technologies across various enterprise projects.
This individual will be required to support various special projects and non-routine tasks as required and assigned by management. Additional responsibilities include:
- Providing support for the overall planning, management and completion of various project tasks that collectively comprise a broad project portfolio for a wide variety of business units
- Assist with project budgeting
- Ensuring effective communications and relationships between project team members and third parties are maintained (e.g., vendors, internal staff, customers, volunteers)
- Help to drive team effectiveness from diverse business units across the org (revenue generating business units, operations business units, system development teams, business analysts, testing teams, finance, volunteers, etc.)
- Work with the Project Managers to monitor vendor hours and project plans
- Developing synergies and integrate with project managers from other business units and third-party vendors
- Utilizing project management skills for society-wide projects to coordinate meetings and ensure completion of project activities
- Developing relationships and ongoing communication channels with Management (including the Operations and Directors Teams) to understand their goals and plans under the context of new business and systems strategy
- Working with Project Managers and various business units to develop detailed project scope of work documents, work breakdown structures, and project plans utilizing various tools for project road mapping through a PPM tool and various system development tools
- Generating reporting to the PMO and project teams for individual projects and technology services-based projects as necessary to ensure clear communication and understanding of project health
Key qualifications
- Knowledge of full software development and testing lifecycles
- Experience working within a strategic PMO environment desired
- Formal Project Management Certification (e.g., PMP, Agile/Scrum equivalents) is preferred
- Experience across a wide variety of project management methodologies (waterfall, agile, scrum, hybrid, etc.) in various operating environments is a plus
- Proven record of success with business transformation initiatives and change management; a track record as an agent of change in complex organizations
- Bachelor’s Degree or additional equivalent experience in Business Administration, Project Management, Information Technology, or similar degrees; MBA is a plus
- Superior oral presentation and written proficiency skills
- At least two (2) years’ progressive experience in project management, process improvement, consulting, business, information technology, or a similar field required
Software skills:
- Experience required with Microsoft Office (Project, SharePoint, Word, Excel, and PowerPoint), email and electronic calendar (Outlook).
- Experience with LucidChart or Microsoft Visio or similar flowcharting application is preferred
- Experience with a project management tools such as Smartsheet (preferred) or Jira, Basecamp, Clarity, AtTask, Innotas, Daptiv, Microsoft Project or similar tools
