Job Description

We are looking for a Project Administrator for a Construction Company in Ocoee, FL!


$57,000-$62,000


Temp to perm


Provide administrative support to Project Managers, Senior project Managers, Chief Operating Officer, and Field Staff.


Duties:

- Compose, transcribe, and/or edit a variety of documents including letters, memos. Meeting minutes, reports, contracts, subcontracts, purchase orders, change orders, monthly status reports, non-subcontractor purchase orders and award letters etc. Route and track for required signatures.

- Verify the assigned project has proper bond, builders’ risk and notice of commencement in place.

- Track subcontractors and purchase orders.

- Order plans as needed.

- Create submittal registers in Prolog.

- Create and maintain all companies and company contacts in Prolog and Dynamics.

- Maintain electronic and manual project filing systems.

- Obtain, coordinate, and log subcontract insurance certificates.

- Create and maintain the address permit list and plan lists.

- Create, package, and mail transmittals/related documents and materials.

- Inform the designated superintendents via email, fax, and/or hardcopy on all subcontracts, purchase orders, change order and correspondences relating to their project. Prepare memos as directs by the Project Managers and Superintendents.

- Obtain project maps from Marketing and distribute to subcontractors and suppliers.

- Cross-train and support other administrative staff as needed.

- Gather, organize, and distribute project closeout documentation.

- Perform other duties as directed by the Project Managers, Senior Project Managers, Chief Operations Officer, and field staff.

- Arrange travel for Project Managers and Senior Project Managers, as necessary.

- Assist the Project Managers in setting up and coordinating project related meetings.


Requirements:

- Educational and experience requirements including High school diploma and at least 4 years prior experience working with a General Contractor

- 1-2 years of Business Administrative Technology education desired.

- Strong writing, proofing, and editing skills. Strong computer (applications), data entry, and keyboarding (60 -70 w.p.m.) required.

- Excellent organizational, communication and interpersonal skills are essential.

- Discretion with sensitive information essential.
