Title: Program Assistant - OEMH
$21.15 - $29.32 / Posted thru: 05/28/23
Limited term through May 2024 (extension possible)

Location: Remote/Virtual - Must Live in Michigan

Purpose: The Program Assistant – OEMH provides administrative support within the Office of Equity and Minority Health (OEMH) on several different projects. The incumbent will complete assignments for OEMH Leadership in support of the on-going program needs.

Duties and Responsibilities:

  • Perform basic documentation and communication tasks to update the team about project status.
  • Under the direction of leadership, facilitate the development of standard operating procedures for the various programs and projects within OEMH.
  • Assist in developing reports as required by funders and the OEMH Leader.
  • Communicate with internal staff and external community partners as well as with grantees related to reporting requirements and timelines.
  • Create and monitor record keeping procedures for various programs and projects within OEMH.
  • Assist in scheduling of technical assistance, webinars, workshops, or trainings for grantees and community partners.
  • Locate and review pertinent information from files, documents, newspapers, and other sources; and prepare a summary of content for professional(s) and/or management staff.
  • Perform administrative duties requested by leadership.
  • Other duties as assigned.
  • Track task completion with software and electronic methods.
  • Proofread and correct prepared materials for correct grammar, format, completeness, and content.
  • Read incoming correspondence and reports, screening those items that can be handled personally, and forward the rest to management and staff.
  • Maintain a positive, strong, credible, professional, and interpersonal relationships with all parties relevant of OEMH projects and represents the best interest of OEMH/Office of Race Equity, Diversity, and Inclusion (REDI), MDHHS and MPHI at all times.

Qualifications/Requirements:


Education: A high school diploma or equivalent is required.

Experience: 3 years of experience working as a Program Assistant. Experience with Microsoft Office Suite and other cloud-based applications.

  • Ability to handle multiple responsibilities in a busy virtual office environment.
  • Knowledge of office practices, procedures, and computer software programs.
  • Requires independent judgment and a high level of initiative and accountability.
  • Commitment to equity and serving the under resourced populations.
  • Excellent oral and written communication skills.
  • Ability to work well in team situations.
  • Proficiency in Microsoft Office applications (particularly in Word, Excel, and PowerPoint) and familiarity with email/internet browser software.
  • Self-motivated, able to complete work in a timely manner, and handle multiple tasks at one time with minimal supervision.
  • Strong client/customer service orientation.
  • Ability to maintain favorable public relations.
  • Knowledge of the principles of administrative management, office procedures, and reporting.

Work Environment and Physical Requirements: OEMH/REDI staff currently work remotely on a permanent basis. Hybrid options are available. Some in-person meetings. Staff must reside in Michigan. Routine physical activities: standing, sitting for long periods of time at a computer, walking, reaching, and bending. Occasional physical activities: stooping, lifting, and carrying. Requires valid vehicle operator’s license where needed to perform duties of the position. Frequent deadlines. In-state travel for training and/or meetings and out-of-state travel for responsibilities related to funding and duties.

RESPONSIBILITY FOR THE WORK OF OTHERS: No assigned responsibility.
