Position: Production Associate (Part Time), Summer Season

Salary Range: $23-$25 per hour

Position Summary:

Work with the Production Administrator to manage backstage operations for all concert presentations at the Hollywood Bowl & the Ford

Position Elements:

• Manage and order Crew, Stage and Backstage Supplies as needed
• Distribute Meal Tickets as needed
• Coordinate and distribute Crew parking memos and passes as well as visiting vendors and guests.
• Work with Security Team (CSC) to coordinate any specific artist requests, day-of show needs, and advise on where best to locate their staff
• Source, interview, and hire Rehearsal Staff every season
• Create and distribute Rehearsal Staff schedules every week
• Review, code, and approve all Rehearsal Staff Time cards
• Compile, create and distribute show schedules and daily information for stage crew and rehearsal staff
• Create and distribute timing sheets for concerts. During concerts, keep timings, finalize and distribute to necessary departments after the performance.
• Maintain and notify proper departments for fixes and updates regarding facilities
• Complete and archive Photo and Video Documentation Waiver paperwork, and credentialing
• Coordinate and distribute information for production and artistic staff as needed, including day-of show schedules, set lists, etc.
• Oversee, train, and manage Rehearsal Staff – deliver daily instructions and schedules as needed
• Distribute backstage credentials to crew, visiting vendors, plus other departments as requested.
• Liaise with Operations Staff and oversee the fulfillment of show-specific needs per department
• When the Media Initiatives Staff are not working a performance - Coordinate visiting Photographers with Promoter and provide instruction on appropriate photo locations.
• Assist the Production team in disseminating any information, production needs, or instructions to the Crew as needed before and during performances.
• Create and distribute Open/Closed Bowl Rehearsal Schedule - work with relevant stakeholders to identify this schedule.

• Order and maintain towel inventory throughout season. Work with laundry vendor to send out in a timely manner.
• Notify Housekeeping staff of all cleaning needs from stage and Production departments whether in dressing rooms or shared spaces
• Provide First Aid as necessary, complete and submit injury reports as needed
• Open Backstage and Stage Work Areas at the Bowl each day for Crew and Production to begin work. Close and lock after all work is done and visiting artists have left.
• Assist Production Administrator and Associate with all other duties as required
• Order and maintain coffee supply inventory throughout season working with vendor to keep supplies stocked.

Lease & Rental Events

• Liaise with visiting artist production regarding backstage needs, supplies, directions, and information regarding dressing rooms, working with the Crew at the venue, and the venue itself - we’re one of their main contacts on a show day
• Most of the above plus:
  • Coordinate visiting Photographers with Promoter – complete and archive paperwork, credentialing, and provide instruction on appropriate photo locations
  • Liaise with visiting artist production regarding backstage needs, supplies, directions, and information regarding dressing rooms, working with the Crew at the venue, and the venue itself - we’re one of their main contacts on a show day
• Coordinate visiting Photographers with Promoter – complete and archive paperwork, credentialing, and provide instruction on appropriate photo locations
