Job Description

Role Overview:

Ten Oaks Group is seeking a highly motivated Personal Assistant/ Executive Admin to add to our team specifically focused on providing personal and administrative support to our two Ten Oaks founders. This role is responsible for providing administrative and concierge services to ensure seamless day-to-day operations for co-founders. We welcome candidates who are highly presentable, extremely responsive, has impeccable follow through, and has exceptional communication skills (specifically verbal and written etiquette). This is a newly created position for growing family office and is a unique opportunity to have a hand-end unique and career-building opportunities.


Primary responsibilities will include:

  • Answers and screen emails, calls, receives and relays messages, handles requests for information and assistance.
  • Assist co-founders with daily schedule and duties, including managing business calendar, commitments, and detailed travel arrangements (planning itineraries, developing agendas, meeting materials, and reporting expenses, etc.).
  • All other duties as assigned
  • Manage personal commitments on recurring and ad hoc basis
  • Support co-founders in the administrative execution of professional and philanthropic endeavors, performing tasks with the utmost discretion, professionalism, and attention to detail
  • Travel coordination for family members, household and family office staff, and trialing candidates
  • Assist co-founders with special projects


Ideal candidates will possess the following:

  • Superior use of discretion and sound business judgement and strong ability to uphold confidentiality
  • Seeking longevity / long term commitment
  • Ability to solve practical problems and deal with a variety of concrete variables in situations
  • 3-4+ references from supervisors (ideally from family office position(s))
  • Prior experience working in family office, financial services, and/or investments environments
  • Excellent knowledge of business management practices and principles
  • Excellent phone (verbal), written communication, and an ability to recognize potentially sensitive situations and maintain the highest level of confidentiality
  • Ability to effectively and efficiently research and/or present information, respond to questions, and meet deadlines
