The Payroll Coordinator supports the payroll function at Firstup by working to ensure our payroll expenses and taxes are paid correctly and on time. This role ensures that payroll procedures are compliant, efficient and current.
Responsibilities:
  • Audit weekly integration of 401k/Roth/Loan benefit changes from Fidelity
  • Work cross functionally and collaborate with Human Resources (HR) and accounting teams on a frequent basis
  • Maintain Timecard entry, approval and importing to payroll
  • Maintain ADP G/L Interface
  • Research and determine payroll discrepancies and perform corrections as necessary
  • Review and audit YTD limits and upload HSA/FSA contributions
  • Partner with HR and be involved with the 401k audit and 5500 testing
  • Partner with Human Resources to process payroll system inputs including new hires, changes in salary, overtime, terminations, benefits, severance, commissions, bonuses, address updates, tax withholdings, annual elections, etc. for all salaried and hourly employees
  • Ensure ongoing compliance with relevant laws and internal policies for both our US and International entities
  • Review and prepare audit items (outside auditors) on behalf of the payroll department
  • Regularly audit information contained within relevant payroll systems and provide assistance on clean-up
  • Draft payroll communications on Nextup (our internal intranet)
  • Complete payroll submission in payroll processing system
  • Resolve issues and answer payroll-related questions
  • Audit, review, reconcile and maintain accurate records to prepare financial reports for domestic and international payrolls
  • Support and validate system upgrades
  • Complete year-end auditing and processing to ensure data integrity for W2 preparation
  • Advanced knowledge of running payroll related reports in ADP
  • Timely and accurate processing for all US and International functions (Canada, Ireland, Italy and UK) including the preparation, processing and disbursement of all regular and off-cycle payrolls, incentive compensation, payroll taxes and employee benefit payments as well as deductions
  • Prepare payroll accounting including cost distributions, journal entries and account reconciliations for month end reconciliations for financial reporting
  • Manage payroll emails and respond to employee inquiries on a timely basis
Minimum Qualifications:
  • Proficient in Excel / Google Sheets and Word / Google Docs related skills
  • An analytical mind and proficient math skills
  • Understanding of International payroll and taxes
  • Outstanding communication skills (written and oral)
  • Understanding of multi-location payroll and taxes
  • 2+ years of experience as a payroll coordinator
  • Current knowledge of payroll procedures and related laws
  • Bachelor or Associate Degree in Accounting or Finance preferred
  • International payroll processing a plus, preferably with Zedra and Papaya
  • High attention to detail with the ability to keep the big picture in mind
  • Previous experience in supporting the Payroll function at a Startup a plus
  • Previous experience with payroll software / HRIS, preferably with ADP
