JOB SUMMARY
The Payroll Administrator will process bi-weekly payroll and maintain employee time records in two systems: 1) Paycor (HRIS software) and 2) Deltek Ajera (ERP software). The Payroll Administrator will also perform all activities necessary to process one (1) or more payrolls, including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management.
ESSENTIAL DUTIES
- Records and processes federal and state payroll tax deposits.
- Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or final discharge.
- Reconciles payroll to the general ledger and monthly bank statements.
- Implements, maintains, and reviews payroll processing and accounting systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Performs other duties as assigned.
- Ensures proper processing of payroll deductions for taxes, benefits, charitable contributions, and other deductions.
- Assist with time records for client billing and invoicing.
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
- Facilitates audits by providing records and documentation to auditors.
- Performs payroll duties for California and Washington state employees.
- Enters, maintains, and/or processes information in the payroll system; information may include employee’s hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
MINIMUM REQUIRED QUALIFICATIONS
Education
High school diploma or equivalent required. Associate’s degree or bachelor’s degree in accounting, Business Administration, or a related field is a plus.
Experience
3-5 years of experience in accounting or bookkeeping with at least 2 years of California experience in payroll preferred.
Skills
- Strong analytical and problem-solving skills.
- Excellent organizational skills and attention to detail.
- Extensive knowledge of payroll functions including preparation, balancing, internal control, and payroll taxes.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn payroll software.
Certifications
Certified Payroll Professional (CPP), Certified Payroll Specialist (CPS), or related certification is preferred but not required.
