Job Summary:
Under the supervision and direction of the health center manager, monitors and improves patient flow while providing support to patients and co-workers. Performs, with accuracy and timeliness, a variety of clinical and administrative tasks in different areas of the health center.
Essential Functions: Monitors and makes corrections to ensure efficient patent flow and overall health center efficiency. Serves as a knowledgeable resource to co-workers and keeps the health center manager informed through active problem solving and reporting. Responds to patient requests and coordinates services. Answers questions, provides patient education and referrals. Provides excellent customer service to patients and co-workers. Ensures exam rooms are prepared. Performs all front and back office responsibilities as required by the health center.
Major Responsibilities: Monitors patient flow in both front and back office and assists in the immediate correction of health center flow issues. Facilitates solutions and improvements to decrease patient wait time and improve efficiency. Collaborates with health center managers and clinician(s) to maximize efficiency in the health center and minimize patient wait times; makes recommendations about changes to policies and procedures in the health center. Serves as a knowledgeable resource for staff and volunteers on health center operations and agency policies and procedures and actively seeks to ensure compliance. Supports and participates in ongoing learning and staff development; this may include training and assisting health center staff. Monitors and maintains supply inventory by checking stock to determine inventory level; anticipates needed supplies; assists health center manager with inventory management. Supports the health center team by proactively communicating about center needs, correcting irregularities in service provision and facilitating problem-solving among team members; documents and communicates activities and outcomes. Keeps health center manager informed by reviewing, analyzing, problem solving, and reporting activities of the health center in the absence of the health center manager. Assists patients by responding to requests and coordinating services from appropriate personnel or departments as needed. Provides non-judgmental, client-centered care, and provides accurate information by answering questions andproviding appropriate resources. Utilizes comprehensive knowledge of birth control methods and reproductive health services to provide patient education. Provides Planned Parenthood Client Information or Informed Consent forms (CIIC) or brochures, offers Planned Parenthood services or community resources for identified patient needs. Provides patients and co-workers with excellent customer service in all interactions and tasks. Utilizes service recovery when appropriate and seeks assistance from co-workers or the health center manager to ensure resolution. Completes all functions of patient check-in including income screening, explanation of funding, and payment options. Explains the different types of coverage or funding available to the patient and refers patients for assistance with health care insurance sign up when appropriate. Optimizes patient satisfaction and efficient use of provider time by providing patient education appropriate to each type of visit; ensures that exam rooms are adequately stocked and prepared prior to visit. Keeps appointments on schedule through ongoing communication with the health center team, including, the clinician and the health center manager. Maintains patient accounts by obtaining, recording, and updating personal and financial information. Records and collects patient payments and solicits donations. Follows organizational guidelines to improve collections and minimize uncompensated care. Maintains safe and clean working environment by adhering to and complying with infection and exposure control procedures; OSHA, WISHA, CLIA, PPFA, and PPGNHAIK policies and procedures. Maintains HIPAA compliance standards regarding patient privacy and confidentiality, and follows all other compliance requirements. Maintains health center operations by following policies and procedures; reports needed changes. Identifies and assists in resolution of health center flow issues. Participates in agency research projects as needed. Participates in health center efforts to achieve established goals for productivity Performs back office and front office responsibilities as required by the health center. Responsible for completing training, current certification and competencies as assigned. Maintains job knowledge by attending meetings and trainings as required.
Front Office Responsibilities: Opens and closes the front office independently. Ensures all forms and materials are stocked and ready for patient contacts. Performs tasks in the front office, including but not limited to: checking patients in and out; selling supplies; answering phones; quoting fees; order and maintaining supplies; running reports; and collecting required data. Participates in the revenue cycle by maintaining patient accounts; obtaining, recording and updating financial information at appropriate intervals; recording and collecting patient payments and follows organizational guidelines to improve collections and minimize uncompensated care. Complies with agency cash-handling procedures and completes accurate daily reconciliation of monies before posting a batch. Provides patient care in accordance with the needs of the health center, as determined by the manager, including but not limited to: pregnancy options education, medication abortion education and consent as well as other tasks, as needed; complies with all applicable policies and procedures in the provision of these services
Back Office Responsibilities: Opens and closes the back office independently Ensures back office and exam rooms are cleaned, stocked and consistently prepared for patient visits Collects and accurately charts information pertaining to patient visits, including: vitals; in-office lab tests and procedures and information received from patients. Performs tasks in the back office including, but not limited to: preparing exam rooms; rooming patients; assisting the clinician; performing lab tests; ordering and maintaining supplies; maintaining logs and manuals. Demonstrates competency in performing trans-vaginal and abdominal ultrasounds. Demonstrates a comprehensive knowledge of universal precautions, sterile technique and hazardous waste disposal. Performs all lab tests, collection and packaging of lab specimens in compliance with agency, lab and state policies/procedures. Demonstrates sufficient competency with trans-vaginal and abdominal ultrasounds so as to be capable of precepting staff who are still building skills; this includes observing and coaching on best practices. Serves as an assistant and support person to licensed staff members during procedures including: abortion (surgical and medication) vasectomy, colposcopy, LEEP, HTS, and other procedures performed at PPGNHAIK. May be responsible for preparation of POC for physician review and be responsible for its disposal per agency and state guidelines.

Education: High school diploma or equivalent
Experience:

Compensation:
PPGNHAIK's compensation philosophy is based on equity and transparency. Starting offers are determined by the candidate's location directly applicable experience and internal equity within the pay grade. The pay range is 22.65 - 37.76 paid hourly.
