Job Description

Clarity Clinic is a 6-location interdisciplinary group private practice of psychiatrists, psychiatric PA's, Psychologist (post Docs), and Therapists. Our mission is to thoughtfully guide the whole person on their journey to find clarity and mental wellness by providing exceptional holistic care.


We are hiring 2 patient care coordinators downtown, 1 in Mokena and 1 in Evanston. Schedule is Mon-Friday with 1 saturday per month and one evening shift per week. (For Full Time applicats)

Patient Care Coordinators are instrumental in helping patients receive great care with the attention and follow-up they need for optimal healthcare experiences. This requires a flexible attitude, quick thinking and a caring disposition. Efficiently check patients in/out. Make sure fee slips and payments are correct. Ensure patient demographics are correct for all patients. Schedule appointments, verify insurance coverage, and maintain accurate patient records. Answer telephone pleasantly and efficiently. Maintain accurate cash handling and balance drawer at the end of each day. Educate patients on co pays, balances, insurance benefits and paperwork. Direct patients to the proper provider location. Take and distribute all messages to providers and other staff, you are responsible for being the bridge of communication between the patients and the providers.

Duties/Responsibilities:

  • Assist the care team with goal setting.
  • Know the difference between co pay, co-insurance, deductible, HMO, Prior authorization and other insurance terminology.
  • Communicate with providers.
  • Answer patients questions; check patients in and out; monitor and perform other front desk tasks as needed.
  • Manage patient placement.
  • Know which providers take what insurance, where they are located, and know what therapists are taking new caseloads.
  • Locate and provide community resources to patients and their family members.
  • Review medication inventory.
  • Process pharmacy orders and respond to inquiries and issues regarding said orders.
  • Manage patient care.
  • Notify patients when providers have messages or instructions for them.
  • Check telephone messages daily and email throughout the day to see confirmations, apt requests, etc. and handle all requests.
  • Maintain complete and accurate patient records.
  • Know the different types of medications and policy requirements for refills.
  • Collect co-pays and or balances.
  • Provide referrals for continuing care.
  • Coordinate and verify coverage with insurance carriers.
  • Connect with new patients via phone and email.
  • Handle inbound calls and answer patient questions and refill requests.
  • Related duties as needed.
  • Maintain a waiting area stocked on both floors.
  • Schedule appointments according to the procedure guidelines.
  • Assist with patient emergency admission when necessary.
  • Maintain patient confidentiality.

Qualifications:

  • Flexible to work at various office locations when needed
  • Associates Degree in healthcare administration or related area of study required, Bachelors Degree preferred
  • Customer service experience in a medical setting, preferred
  • Experience with basic computer programs, such as MS Office
  • Strong organizational skills
  • Above average critical thinking skills
  • Excellent communication skills
  • One year or more working in a healthcare environment
  • Compassionate nature
  • Active participant in the achievement of patient satisfaction
  • Candidates with knowledge of / familiarity with outpatient therapy services desired
