Operation Coordinator Based in Boca Raton, FL.


Job Summary


The coordinator is a contracted position that will report to EPO Manager based in Florida in support of the Client's Operating Council members.


Distinguishing Characteristics


This position requires a highly skilled dependable professional, who is also a self-starter and comfortable working in a fast-paced environment. Must also be proactive, detail/solution oriented with the ability to multi-task and prioritize in a highly confidential environment. This position provides confidential and administrative support to the executive staff.


Essential Functions

Requirements


  • Coordinates and supports Executive Protection Operations, information, and data processing.
  • Performs all other duties as assigned.
  • Effectively communicates, both orally and in writing, with internal and external process partners.
  • Effectively maintains records of inquiries made by internal and external process partners, and the results of those inquiries.
  • Promotes consistent and enthusiastic focus on Crisis24’s service to Client.
  • Performs administrative and support duties of a sensitive and confidential manner. Including but not limited to work documentations, presentations, data entry, scheduling, maintaining monthly metrics/stats and assisting in any other additional administrative support requested. In addition, perform confidential and administrative functions that may include quality control, department communication and special projects.
  • Produces PowerPoint presentations, Security operation plans, Security risk assessments, Security Executive event summaries and other written documents.
  • Serves as liaison with EPO Florida Team and Client’s Risk Fusion Center.


The position is 40 hours per week (eight hours per day with a 30 min lunch break)


EPO Coordinator will report to Florida EPO Manager*


  • Data Entry of Operating Council travel into SharePoint Scheduling Tool
  • Arrange security services for events
  • Serves as liaison with upper EPO Management and the Operating Council administrative team.
  • Supports EPO Manager with tracking ground transportation requests (maintaining the 2022 Transfer tracking spreadsheet)
  • Prepares and sends travel briefs to the Operating Council Administrative team
  • Expert in creating, modifying, and manipulating data in Microsoft Excel (mostly used for events)
  • Requesting / Scheduling / tracking of Illinois and Texas drivers
  • Prepares and sends EP agent/transportation dispatch confirmations and situation reports to the Operating Council Administrative team
  • Provides risk assessment when receiving Operating Council members travel itinerary and makes the necessary recommendations to upper EPO Management
  • Maintain the EPO calendar of Operating Council member’s travel
  • Support EPO Manager in preparing the Daily Executive Protection Report
  • Obtains and documents approval from EO admins for non-EO travelers that require additional services
  • Performs administrative and support duties of a sensitive and confidential manner to confirm that contractors and/or third-party vendors are complying.
  • Monitors EPO Inbox emails and provides the proper responses to the Operating Council Administrative team, Aviation, and upper EPO Management
  • Requesting / Scheduling / tracking of Global Executive Protection agents and/or drivers
  • Books Reservations for EP Agents/Security Drivers (Rental Vehicles, Hotel accommodations, flight bookings)

Knowledge**


  • Must be able to obtain and retain a U.S. passport.
  • Associate degree and/or equivalent work experience
  • Strong customer service and quality orientation.
  • Demonstrated ability to work as a team player.


Skills / Abilities Excellent planning and organization skills. Computer skills in word processing and spreadsheet programs.*


  • Excellent verbal, written and presentation skills.

Schedule


Training for this position will be 4-6 weeks Monday through Friday (8:00AM-4:00PM); After that the schedule is position is Sunday through Thursday (3:00PM-11:00PM)

Pay: From $26.50 per hour
