Job Description

The Department of Fire Services provides firefighter training, public education, fire prevention, code enforcement, licensing, fire investigation, hazardous material response, and emergency response. The agency is compromised of the following business areas: the Office of the State Fire Marshal (Legal, Public Information, Fire Investigation Unit, Cigarette Compliance, Information Technology, and Grants), the MA Firefighting Academy, the Hazardous Materials Response Division, the Fire Safety Division, and the Administrative Services Division (Human Resources, Fiscal and Capital Asset Management). The agency's headquarters are in Stow, MA, with regional facilities in Springfield MA and Bridgewater MA.

The Department of Fire Services is currently seeking a detail orientated and energetic individual to fill the vacancy of Office Support Specialist II in the Facilities department in Stow, MA. The selected candidate will support the Facilities team by preparing and analyzing purchasing forms, invoices, and associated reports, as well as assisting with the day-to-day operations of the facilities office and supervising staff.

Duties and responsibilities include:

  • Provide administrative support to facilities division, including organizing, composing, and preparing forms, documents, spreadsheets, power point presentations and/or other similar materials.
  • Follow Facilities procedures, check-lists or other appropriate guidance to validate the completeness and accuracy of routine forms and documents (such as invoices and purchase requisitions) and ensure that all necessary supporting documentation has been organized and compiled before routing such documents for approvals and/or processing.
  • Coordinate schedules for staff, equipment, conference rooms or other assigned resources and maintain electronic meeting and event calendars.
  • Respond to routine communications and provide information to internal and external contacts and maintain assigned Facilities Teams email boxes.
  • Perform supports tasks such as filing, answering and screening phone calls, greeting visitors, and assisting with the day-to-day operations of the facilities office.
  • Provide back-up support to the Receptionist and Office Support Specialist, or other facilities departments upon request.
  • Conduct research including but not limited to the status of financial transactions, comparison of expenditures, contract expiration dates, information and guidance on how to use of statewide and/or DFS contracts, and gathering information about potential suppliers, products and services.
  • Use computer software or databases to prepare reports and compile data including but not limited to budget, payroll, fleet, CAMIS, inventory, and purchasing information.
  • Create and maintain database and spreadsheet files including but not limited to updating, tracking and monitoring budget, payroll, fleet, CAMIS, inventory, purchasing or other information. Follow Facilities procedures, check-lists or other appropriate guidance to notify supervisor when such information requires attention, such as low drawdown balance or budget shortfall.
  • Coordinate facilities activities such as trainings, MS Teams meetings, travel reservations and approvals, ID badges, DFS emergency broadcasts, scheduling vendor service calls/visits, set-up/logistics for meeting room use, ordering supplies, or weekend trainings.
  • Ensure facilities division office activities are operational and in compliance with standards or guidelines.
  • Acts as a liaison with local, state and federal agencies to exchange information and coordinate activities, such as administrative support for permits.
  • Develop, organize and upkeep detailed paper and electronic filing system for facilities division, including coordinating activities with legal office to attain approval of records disposal.
  • Provide training to newly hired facilities and/or DFS employees and subordinates.
  • Supervise Receptionist.
  • Other duties as assigned.

  • Knowledge of software applications such as MS Excel, MS Access, MS Powerpoint, One Drive, Sharepoint and MS Outlook
  • Knowledge of state accounting and budgetary procedures including terminology
  • Ability to work independently and in teams
  • Knowledge of state procedures governing the purchasing and requisitioning of supplies and equipment.

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:

Substitutions:

I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.

II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Educational substitutions will only be permitted for a maximum of two years of the required experience.

The primary work location for this role will be at the DFS Stow MA campus. Where appropriate, DFS offers a hybrid work model, consisting of in-office and telework to further enhance the work/life balance of its employees. The successful candidate would be required to work primarily on site during initial training and orientation period before telework may be offered and/or for certain positions, telework may not be appropriate.
