JOB SUMMARY:
The Legacy Adult Ministry Administrative Assistant is responsible to perform a variety of administrative staff support duties for specific pastors, which requires a range of skills and a knowledge of ministry goals and organizational procedures.
ESSENTIAL JOB RESPONSIBILITIES
- Support Legacy Care Ministry
- Send communications to key leaders
- Provide support for Pastors of Groups, Connections and Care along with backup support of other Legacy Adult Ministry Staff
- Collaborate with other campuses and staff
- Provide occasional support during weekend services or evening events (e.g., baptisms and big events)
- Use church management software for organizing and maintaining accurate data entry, group management, meeting space assignments, and event management
- Perform data reporting and analysis to assist with ministry evaluation
- Maintain accurate and updated campus calendars and rosters for Groups, Connections and Care
- Plan and execute events, including design, registration, communications, organization, and other details
- Provide support for Groups, Connections Events, baptisms, campus Guest Area, Young Adult events along with backup support of other Adult Ministry events
GENERAL ADMIN TEAM DUTIES AND RESPONSIBILITIES
- Coordinate and prepare for meetings and events (e.g., room set-up and food)
- Maintain accurate and current records in church management software
- Maintain team members’ calendar in Outlook as needed or requested
- Reserve rooms and resources in church management software
- Keep clear communication with the front desk in times of absence
- Support Office Manager as needed (e.g., admin team, rotating phone duty, special projects, and training)
- Attend required meetings
- Edit and generate correspondence as needed
- Perform miscellaneous job-related duties as assigned
- Prepare deposits for ministry areas and expense reimbursement in church management software
JOB PROFILE:
SPECIFIC SKILLS / STRENGTHS
- Comfortable with putting together great and inviting events to help people get connected
- Proactive and timely in carrying out assignments to completion
- Must have strong software management, data entry, and task organization skills
- Able to multi-task and work independently in carrying out assignments to completion
- Flexible and willing to jump into other tasks for the Groups Team outside of normal responsibilities during busy seasons
- Good with multi-tasking; able to keep track of different types of groups and events at the same time
- Energetic, self-motivated, and well-organized
- Able to be pro-active and to anticipate team needs
- Detail-oriented; must enjoy diving deep into fine details, making sure they are organized and accurate
EXPERIENCE DESIRED
- 2+ years related experience and/or training, or equivalent combination of education and experience.
EDUCATION DESIRED
- Minimum of high school diploma or equivalency; college degree preferred.
SUPERVISORY RESPONSIBILITIES
- This role may supervise a core leadership team of volunteers.
LANGUAGE SKILLS
- Ability to speak effectively and understandably on the phone. The ability to effectively present information and respond to common inquiries regarding Chase Oaks ministries is also required. High attention to customer service.
COMPUTER SKILLS
- Familiarity with databases
- Data entry skill & experience
- Basic knowledge of Excel and PowerPoint
- Strong working knowledge of Microsoft Office, Outlook calendaring, and email
