WHY WE NEED YOU

We are seeking a motivated and detail-oriented individual to join our team as a Junior Finance Associate. In this role, you will be responsible for overseeing all vendor-related communications, managing payment statuses, and handling procurement activities for the company. You will play a crucial part in ensuring smooth vendor relationships, tracking payments, and facilitating efficient purchasing processes.

WHAT YOU'LL DO

• Vendor Communication: Serve as the primary point of contact for all vendor-related inquiries and communications, maintaining positive and professional relationships.

• Payment Tracking: Monitor and track the status of vendor invoices, ensuring timely and accurate payment processing. Collaborate with internal stakeholders to resolve any payment discrepancies or issues.

• Vendor Relationship Management: Build and maintain strong relationships with vendors, addressing their concerns or inquiries promptly and effectively.

• Procurement: Manage the company's procurement process, including sourcing suppliers, obtaining price quotes, negotiating terms, and placing purchase orders.

• Purchase Order Management: Generate and maintain purchase orders, ensuring accuracy and proper documentation.

• Budget Monitoring: Assist in monitoring and controlling expenses related to vendor payments and procurement activities, ensuring adherence to budgetary guidelines.

• Record Keeping: Maintain organized and up-to-date records of vendor contracts, invoices, and purchase orders.

• Compliance: Ensure compliance with company policies and procedures, as well as legal and regulatory requirements, throughout the vendor management and procurement processes.

• Process Improvement: Identify opportunities for streamlining vendor management and procurement processes, proposing and implementing enhancements to increase efficiency and effectiveness.

• Cross-Functional Collaboration: Collaborate with various departments, such as Operations, Accounting, and Legal, to ensure alignment and effective coordination of vendor-related activities.

WHO YOU ARE // QUALIFICATIONS

• Basic understanding of financial principles, invoice processing, and payment tracking.
• Demonstrated commitment to accuracy, integrity, and professionalism in financial and vendor management activities.
• Familiarity with procurement processes, including sourcing, negotiation, and purchase order management.
• Strong problem-solving and analytical skills to resolve payment or procurement-related issues.
• Prior experience in finance, vendor management, procurement, or related roles in a retail setting is preferred.
• Proficiency in using financial software or tools, as well as Microsoft Excel for data analysis and reporting.
• Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
• Excellent verbal and written communication skills for effective vendor communication and internal collaboration.
• Ability to work independently and take ownership of assigned tasks, while also being a collaborative team player.
• Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
