Job Purpose
The Junior Events Associate role on the NYSE Client Event team supports the Event Managers and Planners in the flawless execution of rapid-fire events onsite at the NYSE. The mission of the Client Events team is to deliver a world class experience for our clients and perspective clients. The event scope ranges from daily bell groups to multimillion-dollar IPOs with extensive event activations.
The Junior Associate position offers a path to career development across the NYSE. This person will have exposure to all teams and executives across the NYSE, including the C-Suite. Time management, organizational skills, attention to detail, and the ability to work collaboratively with and across teams is essential. The ability to manage high level VIP executives and clients is a necessity. The perfect candidate will be looking for an opportunity to start their career and will want to stretch, learn and continue moving forward.
Responsibilities
- Create daily schedules to outline onsite events including start/end times and where additional support is needed
- Manage external guest arrivals and check-in, problem solve in real time for last minute additions/exceptions
- Coordinate client branded items with vendors for timely arrival, accuracy of order and return of overage
- Coordination with timely asks/changes, managing comms with NYSE Teams
- Escort high-level stakeholders to and from the trading floor (emphasis on timing and quick movements)
- Display NYSE ceremonial gifts and manage supply and production of items
- Work closely with the in house print and production shop on all custom orders
- Ensure all branding and physical assets are accurate and in place pre and during events
- Regular communication updates across NYSE AV/MMO teams, Photography, Catering, Production, Security and Facility teams
- Review NYSE Bell website posts and emails for visibility next day
- Escort bell groups on the Trading Floor (rope perimeters, movement to podium, capacity monitoring, etc.)
- Escort and move client groups in timely fashion to multiple destinations
- Load in coordination, execution of floorplans, vendor and asset placement
- Open and close events using approved ROS, direct communications with client reps and NYSE key stakeholders
- One off asks from guests, all special requests and problem solving (extra room, beverage requests, escorting, etc.)
- Guest list management and uploading, coordination with internal and external teams for seamless guest arrival process
- Own back-end guest badge and security process, including vehicle clearance, arrivals and departures within Experience Square
- Assist NYSE Event Team Managers and Planners during specific events when needed:
- One off asks from guests, all special requests and problem solving (extra room, beverage requests, escorting, etc.)
- Coordination with timely asks/changes, managing comms with NYSE Teams
- Shift to support multiple events per day and reception coordination, Opening and Closing Bells
- Load in coordination, execution of floorplans, vendor and asset placement
- Guest list management and uploading, coordination with internal and external teams for seamless guest arrival process
- Open and close events using approved ROS, direct communications with client reps and NYSE key stakeholders
- Support of NYSE Opening and Closing Bell process:
- Display NYSE ceremonial gifts and manage supply and production of items
- Escort bell groups on the Trading Floor (rope perimeters, movement to podium, capacity monitoring, etc.)
- Escort high-level stakeholders to and from the trading floor (emphasis on timing and quick movements)
- Review NYSE Bell website posts and emails for visibility next day
- Create daily schedules to outline onsite events including start/end times and where additional support is needed
- Physical presence when required at stations on event floors to coordinate multiple simultaneous event groups onsite
- Shift to support multiple events per day and reception coordination, Opening and Closing Bells
- Building relationships with leadership and internal teams to increase visibility and real time troubleshooting throughout events
- Assisting with onsite guidance and arrangement of all NYSE events onsite including the NYSE dedicated event spaces, the Opening and Closing Bells, Experience Square, and Trading Floor events
Knowledge and Experience
Bachelor- Demonstrated problem solving ability and negotiation skills
- Demonstrated success with developing positive relationships with clients, other third parties and internal partners
- Proficiency in MS Windows, Word, Excel, PowerPoint, Eloqua, ON24, and Salesforce
- Experience with content creation and agenda development preferred
- Excellent communication skills
- Experience with Open Exchange, HiveBrite, Cvent, WebEx Events, Zoom Webinars, Monday.com and other marketing platforms a plus
- Exceptional project and event planning skills
- Exceptional analytic, project management and organizational skills; the ability to juggle multiple demands, manage shifting priorities, and meet deadlines
- S degree or equivalent years of relevant experience or combination
- Ability to work in a highly collaborative environment and as part of a cross-disciplinary team
Schedule
This role offers work from home flexibility of up to 2 days per week.
Base Salary Range for New York Candidates
The expected base salary for this role is between 55,000 - 65,000 USD. The base salary range does not include Intercontinental Exchanges incentive compensation. While we provide this range as general guidance, at ICE we compensate employees based on the skillset and experience of the individual.
