Job Summary:
The Human Resources Specialist is responsible for supporting all aspects of the HR department. You will handle multi-state payroll processing, hiring, onboarding and terminations, benefits, training and other HR related activities. This position is expected to enforce management guidelines. You should be experienced in handling a wide range of human resources related tasks and able to work independently with little or no supervision. The HR Specialist must be well organized, flexible and enjoy the challenges of supporting an office of diverse people.
Responsibilities:
- Assists with payroll processing associated with new hires and terminations such as opening timecards and calculating vacation pay out.
- Provide support to employees on HR-related issues, including answering questions related to policies, procedures, and benefits.
- Maintain accurate employee records, including updating personal information, tracking employee hours, and managing employee files.
- Assist with recruitment and onboarding, including posting job ads, screening resumes, conducting interviews, processing new hire paperwork (I9 employment verification, drug and background screening).
- Maintain confidentiality of all HR and payroll information.
- Assist with special projects and other duties as assigned by the HR Manager.
- Participate in employee relations activities, including performance management, disciplinary actions, and terminations, including conduct exit interviews and analyze data to identify trends and areas for improvement.
- Manage and process all aspects of payroll using ADP for employees in Texas and California. This includes entering employee data, verifying timecards, calculating and processing payroll, and ensuring accuracy of payments.
- Verify and process employee 401K enrollment/change forms.
- Administer employee benefits, including enrollment, changes, and terminations.
- Ensure compliance with internal HR policies and procedures, as well as external laws and regulations.
- Manage employee leave of absence, including FMLA and Workers Compensation Claims.
- Ensure compliance with federal, state, and local laws and regulations related to payroll and employment practices.
- Runs time management reports and conducts checks associated with payroll processing: accruals, holidays, leaves, PTO.
Skills and Experience:
- Excellent interpersonal and communication skills
- Excellent organizational skills and attention to detail.
- Minimum 2 years using ADP for payroll processing.
- Minimum 2 years of experience recruiting, onboarding, reporting, etc.
- Ability to manage sensitive and confidential situations and data with professionalism.
- Minimum 2 years knowledge of payroll tax, California and Texas laws and regulations preferred.
- Proficient with MS Office Suite.
- Excellent verbal and written communication skills.
- High School diploma required, degree in related field is preferred.
- Able to multi-task and perform well under pressure.
