This position will report directly to the Human Resources Director. The work location for this position is flexible and remote work will be considered.

JOB DESCRIPTION

Chapin Hall at the University of Chicago is seeking an experienced Human Resources/Benefits Manager who will work collaboratively with Chapin Hall staff. The successful applicant will have a demonstrated track record in various areas of Human Resources to include health and welfare benefits, retirement and leave administration, talent management, audit, HRIS, and compliance.

The role will function as a consultative business partner to leadership, management, staff (i.e., Research, Policy, and Administration) and external partners. The role will primarily be responsible for overall management of Chapin Hall's benefits' program and assume other HR responsibilities allowing for full immersion into and across Chapin Hall Human Resources. The successful candidate will be expected to contribute successfully to the achievement of short- and long-term department and organizational goals.

The Human Resources/Benefits Manager will report to the Human Resources Director. The successful applicant is expected to work normal business hours and must have flexibility in their work schedule to accommodate business demands.

RESPONSIBILITIES

Benefits Administration

  • Manage relationships with internal/external stakeholders and suppliers; identify and resolve all benefits administration problems in a timely manner; keep leadership apprised of issues as appropriate; oversee the benefits communications for new hire, life event, termination, and COBRA
  • Oversee the benefits enrollments and terminations process and periodically audit carrier feeds and EOI reports for accuracy; Troubleshoot issues, run reports, audit deductions, resolve claims inquiries, and communicate with carriers and staff as needed
  • Co-lead, in partnership with the Human Resources Director, the responsibilities, tasks, deliverables, and meeting with Chapin Hall's Benefits Committee and Retirement Committee; work collaboratively with Human Resources Director and Financial Operations regarding HR budgeting; partner with HR Director and other stakeholders to ensure benefit programs are competitive
  • Design and manage all Chapin Hall health and welfare plans; oversee the development, implementation, reporting, and ongoing monitoring of federal, state regulations, including ACA, COBRA, SPD, 5500 Reporting for ERISA Plans, etc.; document compliance efforts; research, update, and distribute all annual notices and required disclosures
  • Facilitate and manage the annual open enrollment process through planning, implementation and communication of all new benefit programs or program changes to staff, broker, and carriers; coordinate training for HR colleagues and all staff; calculate annual cost modeling for Executive Director's approval; lead the HRIS programming updates; and run reports to audit final elections and adjust accordingly before the new enrollment period begins
  • Review the monthly billing reconciliation for accuracy and review discrepancies with the HR/Benefits Analyst; communicate with carriers regarding any outstanding/incorrect items ensuring resolution occurs; partner with Financial Operations regarding benefits reconciliation matters
  • Oversee the administration of all leaves of absence and disability claims (STD, LTD, Workers Compensation, FMLA)

HR Administration

  • Engage with HR staff and applicable stakeholders regarding the development and implementation of employment, benefits, and workforce policies; ensure written processes and procedures are current and documented
  • Lead annual fringe rate planning efforts; conduct necessary analysis; develop fringe rate scenarios; lead meetings with key stakeholders to finalize fringe rate recommendation
  • Collaborate with HR Director regarding key initiatives in support of Chapin Hall's Strategic plan
