Job Description
PIPECARE USA is currently looking to hire a Human Resource Administrator to provide expertise in all functional areas of Human Resources to the assigned business group. We are looking for an individual who is people focused, loves to be organized and wants to contribute building a people focused culture. HR Admin will have overall responsibility for implementation of corporate HR policies and procedures as well as ensuring their compliance with the local labor laws. HR Admin will coordinate employee service requirements and concerns of USA which includes and are not limited to areas such as: recruitment, organization of trainings, administration employee benefits and leaves, implementation of HR policies, delivery of HR induction, fulfillment of employee requests, employment documentation, filing of records, etc. Job Functions, Responsibilities & Authorities:
  • Prepare and keep the records of all the HR-related documents like: job offers, employee contracts, probation confirmation letters, promotion letters, salary certificates, clearance and liability letters, warning and termination letters, etc.
  • Create profiles for employees in ERP, upload the salary details, and change in position/designation in ERP.
  • Handles the employee relations for the assigned Territory
  • Keep records of all leaves including Annual Leave, Personal leaves, Sick leaves, Field Breaks, etc.
  • Provide support to employees in various HR-related topics such as leaves and compensation and resolve any issues that may arise.
  • Help organize training & development initiatives.
  • Ability to work proactively in a professional, confident manner
  • Create Personal files (Hard files) and E-files for new employees, maintaining the labeling and filling system, scanning all the documents and following up on documentation.
  • Prepare and maintain the salary adjustment file on the monthly basis, finalize and submit monthly payroll for further financial approval.
  • In depth and expert knowledge of local Labor Law and broad knowledge of HR
  • Assist in the recruitment process by arranging interview schedules, screening CVs and conducting interviews.
  • Min 5-years’ experience in complex organizations (multi-national, matrix, cross cultural, multi-location)
  • Manage and increase the effectiveness and efficiency of Human Resources Department by assuring the timely coordination and communication of all HR-related issues between regional and the Corporate central offices.
  • Assist in implementation of HR Policies and Procedures.
  • Promote HR programs and initiatives to create an efficient workplace.
  • Ensure compliance with local labor regulations.
  • Monitors/approves daily attendance
  • Enhance job satisfaction by resolving issues promptly, applying new perks and benefits and organizing team building activities.
  • Executes other task as might be requested by HR & Development Manager and/or by Corporate HR Director and Head of the regional office. Accountability:
  • Bachelor’s Degree in Administration or any other related field
  • Coordinate administrative tasks such as visa processing, employment requirements, legalization of documents, medical insurance and other HR requests.
  • Excellent communication skills and professional level of English language
  • Submits monthly payroll on time as per approved scheduled
  • Directly handle with employees to solve mostly minor issues or concerns of the employees.
  • Administer compensation and benefit plans.
  • Approve Daily Attendance for all employees in the assigned territory.
  • Conduct employee onboarding and offboarding.
  • Deliver HR induction and schedule and follow up on delivery of other corporate inductions as per onboarding procedure.
  • Keeps the employee’s files up to date and as per company standards
  • Maintain updated, secure and confidential HR file system as per corporate standards and aligned with local labor legislation.

  • Execute Employee Clearance and Handover related activities for Annual leaves, Emergency Leaves, Field Breaks, Termination / Resignation, etc. Employee ticket booking related activities for the listed matters.
  • Strong administration experience, ideally in HR Generalist function
  • Preparation of HR and training reports Skills/Experience:
  • Recommend appropriate corrective measures as per corporate procedures and in accordance with the local labor legislation.
