THE OPPORTUNITY

ProGeorgia is seeking a confident, highly motivated, detail-oriented individual with strong project management skills to provide executive administrative support to the Chief of Staff. Reporting to the Chief of Staff, the Executive Assistant will be responsible for the following key responsibilities:


Scheduling and Meeting Preparation

  • Maintain Board distribution lists and contact information, send out and track annual Conflict of interest Forms and Disclosure Forms, and update Board Information and Committee Selection
  • Work collaboratively with the Chief of Staff manage the Chief of Staff’s dynamic calendar and successfully execute meetings and activities.
  • Coordinate conference calls and web meetings with internal and external groups, including agenda development, attendee management and organizing the dial-in and login information. Help plan and set up the Chief of Staff’s meetings, events, and webinars.
  • Schedule and provide logistical support for meetings of the Board of Directors and its committees.
  • Serve as the primary point person for all requests for the Chief of Staff’s time and work to prioritize, schedule, and implement requests.
  • Generate agendas and other materials for meetings of the Board of Directors and its committees.
  • Coordinate travel arrangements and reconcile all expenses and submit reimbursements in a timely and thorough manner.
  • Use appropriate professional judgment to keep the Chief of Staff abreast of any changes, issues, or concerns that may impact daily activities and/or schedules.


Communication and Correspondence

  • Communicate directly and on behalf of the Chief of Staff with internal leaders and staff, outside individuals and companies, and others, on matters related to the Chief of Staff’s priorities and programmatic initiatives.
  • Provide a bridge for smooth communication between the Chief of Staff and internal departments, demonstrating leadership to maintain credibility, trust and support with leadership staff.
  • Oversee incoming correspondence and requests for the Chief of Staff’s attention, execute high priority tasks, and write and edit emails, letters, memos, and other correspondence on behalf of the Chief of Staff.


Project Management

  • Establish effective project communications plans to keep all project members up to date and aware of impacts on schedule.
  • Utilizing Asana, mange the status, resources, and timelines for all projects.
  • Collaborate with various team members to ensure all deliverables are met by specified deadlines.



PROFESSIONAL QUALIFICATIONS

The ideal candidate will possess many of the experiences and qualifications described below but need not possess them all to be considered:

  • Highly resourceful team player, with the ability to also be extremely effective independently.
  • Excellent calendar management skills including the coordination of executive meetings in multiple time zones.
  • Superb written and verbal communication skills.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of service and response.
  • Advanced proficiency in Microsoft Office including Outlook, Word, Excel, and PowerPoint, Google Suite applications (i.e., Docs, Sheets, Slides, etc.), Zoom, Asana, Concur and other office productivity tools, with aptitude to learn new software and systems.
  • Ability to effectively regulate and manage emotions in response to workplace stress and challenges.
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions.
  • Strong project manager with exceptional organizational skills, including the ability to manage multiple tasks, prioritize competing demands, and accommodate frequent changes with excellent attention to detail.
  • Experience participating and hosting in-person and remote video meetings (i.e., Zoom, Skype, Teams, etc.).
  • 5+ years’ experience in executive administrative support with at least 2 years’ experience supporting a C-suite executive.
  • A passionate commitment to working for a progressive organization committed to the goals of ProGeorgia, including civic engagement and economic, social, and racial justice.
  • Outstanding interpersonal skills, including the ability to maintain a poised, professional demeanor when navigating difficult situations.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.



TRAVEL

Travel is not required for this position.


LOCATION

This position will be based at ProGeorgia’s office in Atlanta, GA. The office operates with a hybrid remote/in-person environment requiring staff to be present in the office 3-4 days a week.


COMPENSATION and BENEFITS

The competitive base salary range for this position is $75,000 - $90,000 annually, commensurate with qualifications and experience. In addition, ProGeorgia also offers a comprehensive benefits package including medical, dental, vision, and life insurance; 401k and company matching; and paid holiday, vacation, and sick leave benefits.
