About the Role:
We are seeking a highly skilled and proactive Executive Assistant to provide comprehensive support to our CEO. As the Executive Assistant, you will be responsible for managing the CEO's daily schedule, coordinating meetings, handling confidential information, and serving as a key liaison between the CEO and internal/external stakeholders. The ideal candidate will be detail-oriented, possess exceptional organizational and communication skills, and thrive in a fast-paced and dynamic work environment.
As an integral part of our team and in your role supporting the CEO, it is important to note that the position often requires a significant commitment of time and effort. Working closely with the CEO means being available to provide support and assistance during their demanding schedule, which may involve longer hours and occasional work outside of regular office hours. Responsibilities:
Calendar and Schedule Management:
- Coordinate travel arrangements, accommodations, and logistics for the CEO's business trips.
- Provide timely reminders and ensure the CEO is well-prepared for upcoming commitments.
- Manage the CEO's calendar, proactively scheduling and prioritizing appointments, meetings, and events.
Meeting Coordination and Communication:
- Attend meetings, take accurate minutes, and distribute action items and follow-up tasks.
- Schedule, prepare agendas, and coordinate logistics for internal and external meetings.
- Serve as the primary point of contact for the CEO, screening and prioritizing emails, and correspondence.
Relationship Management:
- Coordinate and facilitate communication between the CEO and various teams, ensuring timely responses and follow-ups.
- Collaborate with other departments to gather information and coordinate cross-functional initiatives.
Special Projects and Initiatives:
- Support the CEO in the execution of strategic initiatives, monitoring progress, and ensuring deadlines are met.
- Undertake special projects and assignments as directed by the CEO, providing research, analysis, recommendation, and assisting with other personal matters as necessary
Qualifications:
- Flexibility to adapt to changing priorities and work effectively under pressure.
- Experience in high-end hospitality preferred
- Exceptional organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Demonstrated discretion and ability to handle sensitive and confidential information with integrity.
- Proven experience as an Executive Assistant or similar role, supporting C-level executives
- Bachelor's degree in Business Administration, Communications, Psychology, Sociology, or a related field (preferred).
- Strong attention to detail and accuracy, with excellent proofreading and editing skills.
- Excellent verbal and written communication skills, with the ability to interact professionally with diverse stakeholders.
- Proactive and resourceful problem-solving skills, with the ability to anticipate needs and provide solutions.
