Job Summary:
This position is responsible for providing a high level of support to the Cheif Executive Officer, in addition to the Executive Team and the Board of Directors. The position requires an experienced, organized and detail-oriented, proactive, self-starter who enjoys supporting organizational leadership in a variety of ways. This polished professional will be a seeker of excellence thriving in a fast-paced environment while being resourceful and meeting tight deadlines.
Essential Functions of the Job:
- Liaison to the board of directors; responsible to assist with travel arrangements, expense submissions and communications with directors.
- Coordination and maintenance of corporate organizational documents, files and other information systems.
- Conserves executives’ time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications; handles expense reporting.
- Support for meetings which includes responsibility for planning, agendas, minutes, materials and logistics.
- All other duties, as assigned.
- Effective written and verbal communication to the senior leadership team, directors, investors, and others, including the creation of correspondence, presentations and reports needed for meetings.
- Office management duties which include space planning, vendor contact, invoice approval/coding.
- Special projects including research, data collection, drafting and information analysis on a variety of issues for organizational leadership.
- Assist and/or lead coordination of internal and external events and conferences.
- Maintains executives’ appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel; assists with time management and access to the executives.
- Back up for our receptionist on days needed.
- Demonstrate a high level of integrity with sensitive and confidential information.
Supervisory Responsibilities:
- 1-2 direct reports.
Minimum Qualifications:
- Experience in assisting with the filing of the company’s annual report, annual proxy statements, regulatory filings and issuance of press releases.
- Associate degree.
- 8+ consecutive years of executive administrative support experience required.
- Experience in scheduling and planning of Board meetings, investor meetings, earnings calls, annual shareholder meetings.
Preferred Qualifications:
- Bachelor's degree in Business or English.
- Experience in event planning coordination.
Knowledge and Skills:
- Demonstrated poise, tact and diplomacy.
- Solid and proven work ethic and outstanding organizational skills.
- The ability to work independently and appropriately handle highly confidential information with a proven track recovd of maintaining strict confidentialisty of sentivie information.
- Excellent calendar management experience and the ability to meet tight deadlines.
- Self-starter with demonstrated ability to work both independently as well as within a team.
- Independent judgment to plan, prioritize and execute diverse workload.
- Self-motivated, hands-on, and an organized professional with a positive, can-do attitude.
- Exceptional organization and planning skills, with ability to track and manage multiple projects at one time.
- Excellent written & verbal communication skills, and the ability to relate effectively with diverse individuals.
- Comfortable with a fast-growing, ever-changing environment.
- Accurate data entry skills and exceptional ability to edit for spelling, punctuation, and grammatical errors.
- Proficiency in Adobe InDesign is helpful.
- Strong project management skills and an ability to multi-task with attention to detail and follow through.
- Advanced computer skills in Microsoft Office (Word, PowerPoint, Excel, Outlook, Visio etc.) and technical resources including meeting and conference applications and tools.
- The ability to think ahead to anticipate needs and be proactive in identifying issues and resolving problems effectively.
- Demonstrates professionalism and is viewed as responsible, reliable, and trustworthy.
Additional Considerations:
- Location: The job will be located at our Eden Prairie Innovation Center (EPIC) in Eden Prairie, MN.
- Work Environment: Approximately 95% of the job is in an office environment; 5% at off-site venues.
