Job Description
Job Title: Executive Assistant


Location: Remote, CA


Duration :: 3 Months & possibility of extension


Responsibilities


s:


  • Extensive travel planning and coordination, that are complex and detailed at times
  • Seeks proactive and creative win/win alternatives for the executives, constantly assessing changing priorities and complex schedules
  • Plans, coordinates, and ensures the executive schedule is followed and respected
  • Works effectively as a team player, working well with peers and members of the greater organization
  • Successfully completes critical deliverables with hands-on approach, including drafting acknowledgement emails, personal correspondence, and other tasks that facilitates the executive’s ability to effectively lead the business
  • Escalates issues to the executive when appropriate but able to resolve many issues independently
  • Works on challenges/problems of diverse scope where both analysis of data and judgement is required
  • Successfully completes critical deliverables with hands-on approach, including drafting acknowledgement emails, personal correspondence, and other tasks that facilitates the executive’s ability to effectively lead the business
  • Prepares professional and confidential correspondence
  • Experience in project management dealing in multiple tasks, timelines, and deadlines
  • Maintain connections with the Executive Team and awareness of issues taking place within the organization
  • Provides itineraries and agendas and prepares documents for travel-related meetings
  • Proactive, polished, mature, resourceful and efficient
  • Handles details of a highly confidential and critical nature which requires in-depth knowledge of company operations, policies, and procedures
  • Collects and prepares information for use in board meetings, investor calls and discussions/meetings of executive staff. Provides support towards development of Annual Operating Plan
  • This role will engage/coordinate cross functionally with teams around the world
  • Handle logistics for Executive Team leadership meetings including off-site events
  • Maintains discretion and confidentiality in relationships with all executive level staff
  • Provides “gate keeper” and a “gateway” role yet always approachable and diplomatic
  • Works closely and effectively with the executive to keep well informed of upcoming commitments and responsibilities with appropriate follow up
  • Extensive management of a highly complex calendar schedule


Qualifications


  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
  • Be adaptable to various competing demands and demonstrate the highest level of customer/client service and response
  • Ability to identify business issues and coordinate an appropriate response with key stakeholder
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, senior executives and external partners
  • Proficient in Microsoft Office with emphasis on Excel and Powerpoint - Keynote presentation skills, and social media web platforms. Ability to create slides quickly at a moment’s notice.
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Project management experience, including development of basic project plans and successful execution
  • Proven ability to handle confidential information with discretion
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail


Requirements


  • 7+ plus years of experience providing high-level executive support
  • Able to work non-standard, flexible work hours as required
  • Travel: approximately 15%
  • Bachelor's degree preferred
