Job Description

:

We are seeking a highly organized and detail-oriented Executive Assistant to provide personalized secretarial and administrative support to our CEO. As an Executive Assistant, you will play a critical role in managing information flow, coordinating executive scheduling, and ensuring smooth communication within the organization. This position requires strong multitasking abilities, excellent communication skills, and a high level of professionalism.

Responsibilities:

  • Ensure the smooth operation of office equipment and order maintenance when necessary.
  • Represent the executive by meeting with special interest groups or individuals on their behalf.
  • Organize and prepare for meetings, including gathering documents, attending to logistics, and taking meeting minutes when necessary.
  • Format information for internal and external communication, including memos, emails, presentations, and reports.
  • Maintain confidentiality and discretion when handling sensitive information.
  • Answer and respond to phone calls, communicate messages, and provide necessary information to the executive.
  • Prioritize and manage email correspondence, responding to messages as required.
  • Coordinate and manage executive scheduling, including calendar management and prioritization of appointments and meetings.
  • Manage information flow in a timely and accurate manner, ensuring effective communication within the organization.
  • Track daily expenses and prepare weekly, monthly, or quarterly reports as required.

Requirements/Qualifications:

  • Strong written and verbal communication skill, in both English and Spanish.
  • Previous work experience as an Executive Assistant, Personal Assistant, or in a similar role.
  • Energetic and eager to tackle new projects and ideas.
  • Exceptional time-management and organizational skills.
  • Excellent knowledge of MS Office applications (Word, Excel, PowerPoint, Outlook).
  • Demonstrates discretion and maintains confidentiality.
  • Excellent interpersonal skills to collaborate with internal and external stakeholders.
  • Attention to detail and the ability to maintain accuracy in all tasks.
  • Strong problem-solving abilities and the capacity to multitask effectively.
