We are seeking a highly organized and detail-oriented Executive Assistant to provide personalized secretarial and administrative support to our CEO. As an Executive Assistant, you will play a critical role in managing information flow, coordinating executive scheduling, and ensuring smooth communication within the organization. This position requires strong multitasking abilities, excellent communication skills, and a high level of professionalism.
Responsibilities:
- Ensure the smooth operation of office equipment and order maintenance when necessary.
- Represent the executive by meeting with special interest groups or individuals on their behalf.
- Organize and prepare for meetings, including gathering documents, attending to logistics, and taking meeting minutes when necessary.
- Format information for internal and external communication, including memos, emails, presentations, and reports.
- Maintain confidentiality and discretion when handling sensitive information.
- Answer and respond to phone calls, communicate messages, and provide necessary information to the executive.
- Prioritize and manage email correspondence, responding to messages as required.
- Coordinate and manage executive scheduling, including calendar management and prioritization of appointments and meetings.
- Manage information flow in a timely and accurate manner, ensuring effective communication within the organization.
- Track daily expenses and prepare weekly, monthly, or quarterly reports as required.
Requirements/Qualifications:
- Strong written and verbal communication skill, in both English and Spanish.
- Previous work experience as an Executive Assistant, Personal Assistant, or in a similar role.
- Energetic and eager to tackle new projects and ideas.
- Exceptional time-management and organizational skills.
- Excellent knowledge of MS Office applications (Word, Excel, PowerPoint, Outlook).
- Demonstrates discretion and maintains confidentiality.
- Excellent interpersonal skills to collaborate with internal and external stakeholders.
- Attention to detail and the ability to maintain accuracy in all tasks.
- Strong problem-solving abilities and the capacity to multitask effectively.
