Job Description
We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude to assist the Vice President of Digital Marketing for ABC Entertainment. The candidate should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, zoom and e-mail, coordinating meetings, calendars, making travel arrangements, and generally being a helpful resource to the executive.


To be successful as an administrative assistant, the candidate should be professional, polite, and attentive while also being accurate and able to multitask. They should always be prepared and responsive, willing to meet each challenge directly. Administrative assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, administrative assistants should have a genuine desire to meet the needs of others. The role will work across all Digital Marketing groups and will have an opportunity to learn and contribute within those teams. The job will have a mix of administrative duties and support projects across social media and digital creative campaigns and is a great opportunity for career development in these areas.


Responsibilities:


Provide day-to-day administrative support for the VP, Digital Marketing including, but not limited to, the following:


  • Support work across the entire Digital Marketing team inclusive of social media, creative, content distribution, talent relations and paid media
  • Maintain polite and professional communication via phone, e-mail, and mail
  • Manage schedule, calendar, and meetings by providing real-time scheduling support and preventing conflicts
  • Screening phone calls and routing callers to the appropriate party
  • Handling office tasks, such as generating reports and presentations, setting up for meetings, and transcribe minutes from meetings
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations
  • Ability to tactfully manage executives’ time, multi-task and communicate clearly and effectively with all team members
  • Other admin projects as assigned
  • Anticipate the needs of the executive to ensure their daily demands can be met
  • Monitor social media trends, pull reports, and share learnings across organization
  • Greet and assist visitors
  • Run performance reports from social media and paid media campaigns


Basic Qualifications:


  • Positive attitude and the ability to be proactive, resourceful, and flexible
  • Knowledge of appropriate software including but not limited to: Microsoft Word, Excel, Outlook, PowerPoint, Keynote, Google Workspace, Zoom and Adobe Acrobat
  • Maintain standards of strict confidentiality with respect to all matters and documents
  • Ability to make independent decisions when handling sensitive and confidential information, while exercising good judgment and discretion when executive is out of the office
  • 1+ years of previous administrative experience on a high-volume desk
  • Extremely detail oriented and organized, with a strong ability to manage multiple high priority projects and appropriately prioritize work
  • Team player - willing to work with other assistants and staff at all levels in support of the marketing team


Preferred Qualifications:


  • Ability to troubleshoot tech issues as they arise
  • Candidate should have a strong passion for entertainment and should be familiar with a variety of industry concepts, practices, and procedures, especially in marketing
  • Experience in the entertainment industry, ideally in media or marketing


Required Education:


  • Bachelor’s Degree or equivalent work experience


The hiring range for this position in Burbank, CA is $46,640 to $64,130 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
