Job Description

Job Title: Executive Assistant / Program Manager

Company Overview:


River is a growing business specializing in developing technology solutions for the international environmental and energy sector. We have recently secured contracts with the US Department of Energy and are seeking a highly motivated and organized Executive Assistant / Program Manager. This position offers the opportunity to make a significant impact on the development of solutions that reduce the environmental impact of hydropower and water storage facilities while helping operators reduce the cost of regulatory compliance.

As an Executive Assistant / Program Manager, you will work remotely and have a key role in our company's success and customer relations by supporting the day-to-day operations of our business and ensuring the successful execution of our projects. You will work closely with the company founder and other team members to coordinate activities, manage schedules, and facilitate effective communication with internal and external stakeholders.


Your responsibilities will include:


Scheduling and Coordination:

  • Arrange and coordinate travel arrangements, including booking flights, accommodations, and transportation as needed.
  • Manage the founder's calendar, schedule meetings, and coordinate appointments.
  • Assist in organizing and preparing materials for meetings, presentations, and conferences.


Administrative Support:

  • Perform light bookkeeping tasks, such as invoicing, expense tracking, and budget monitoring.
  • Maintain and organize company files, documents, and records.
  • Assist with general office management tasks, including ordering supplies and managing equipment.


Customer Outreach and Communication:

  • Assist in the preparation of client proposals, including conducting research, analyzing data, and developing persuasive materials.
  • Support customer outreach initiatives by maintaining client databases, responding to inquiries, and providing excellent customer service.


Program Management:

  • Assist in the development and maintenance of project documentation, including project plans, progress reports, and performance metrics.
  • Collaborate with teams to ensure projects are executed according to plan and within budget.
  • Monitor project timelines and deliverables, identifying and addressing any issues or risks.


Qualifications and Skills:

  • Proficiency in using project management software and tools.
  • Proven experience in business development, project management, and engineering project coordination.
  • Strong written and verbal communication skills.
  • Ability to work independently and remotely, demonstrating self-motivation and initiative.
  • Bachelor's degree in business, engineering, or a related field.
  • Strong proposal writing and presentation skills.
  • Excellent organizational and time management abilities, with exceptional attention to detail.
