Description
FSMB's Department of Education Services is seeking a dedicated professional to assist in the planning and delivery of FSMB’s educational programming in collaboration with the Director of Education Services. As an Education Services Coordinator, you will assist in providing full-service planning and day of coordination with educational events. Events may range from 50 to 500+ physician and non-physician attendees. Meetings may be virtual, local and/or national.

Essential Job Duties:
- Collaborate with external subject matter experts and staff across all departments, including marketing & communications, meetings & travel, membership engagement, governance, and IT to maximize the impact of FSMB’s educational programs for physician and non-physician learners, to optimize our success in meeting learner educational needs.
- Oversee the execution of annual meeting exhibitors and sponsorship-related deliverables including the processing of exhibitor and sponsor contracts, collection of exhibitor information for website and printed materials, creation of annual exhibitor and sponsor prospectus document, and handling of exhibitor registration, lead retrieval services, exhibit hall layout, and booth management.
- Work closely with the Director of Education Services and assist with other ad-hoc projects, as assigned.
- Create event materials such as badges, tent cards, sign-in sheets, rosters, registration desk collateral, etc.
- Collaborate with the Director of Education Services to evaluate FSMB’s learning programs to ensure continuous improvement.
- Assist with pre- and post-program responsibilities and tasks such as the setup/breakdown of meeting materials, report generation, the issuance of certificates of participation, the creation and distribution of event evaluations, etc.
- Manage and support the on-site registration desk for live learning programs, as assigned.
- Perform other duties and tasks as assigned and/or required for the position.
- Manage FSMB’s annual meeting scholarship program; provide customer service support for voting delegates of state medical boards and event attendees.
- Assist in the management and delivery of FSMB’s educational activities and programs from development to implementation.
Position Requirements and Skills:
- Ability to take direction and work positively as both a team member and independently
- Live and virtual event/meeting planning experience a plus
- Ability to travel for meetings and conferences 3-4 times annually for 3-5 days.
- Ability to handle a high volume of detailed work with accuracy and manage multiple projects or tasks.
- Required to work in the office on assigned in-office days
- Strong relationship-building and facilitation skills to communicate with stakeholders including meeting speakers, attendees (primarily physicians), and FSMB staff.
- Demonstrates a high level of professionalism and accountability in a mission-driven environment with the ability to function autonomously
- High level of organizational skills for administrative tasks and follow-up
- Demonstrated experience and ability to effectively communicate orally and in writing
- Knowledge of and proficiency with Microsoft Office Suite, Teams, SharePoint, and Zoom.
- Knowledge of iMIS and CVENT is a plus.
- Bachelor's degree preferred plus 3-5 years of related experience
- Excellent attention to detail
